Job Description

1. Run off all invoices emailed to the buyer administrative assistant email and pass out to the appropriate buyer. 2. Process payment on each invoice after the buyer has prepared them and placed them in the tray. 3. Answer emails relating to invoices and statements that pertain to the purchasing department. 4. Wait on customers/visitors/applicants that come into the building. This position is first to assist people at the front counter. This may require confirming an order that a customer has placed, taking money for the order and counting back change. 5. Answer incoming phone calls assisting customers with orders and questions, marketing advisors with order changes, questions or needing transferred to another extensions, drivers needing to be marked off as finished for the day, questions on deliveries or needing transferred to another extension. This position answers the phone last if invoices are being processed. 6. Process receiving paperwork and it comes in from the warehouse and give to the correct buyer. 7. Assist customers with nutritional information requests. 8. Mail statements weekly, bi-weekly, 25th and monthly. 9. Cross train with other positions in the front office to act as a backup when other employees are missing. 10. Maintain nutritional information in document mountain and on the host system. 11. Special projects, trackings, research and other projects as assigned. 12. Perform other job duties assigned by the office manager.
