The Client Care Coordinator serves as the first point of contact for clients, families, visitors, and referral partners entering the organization. This role is responsible for delivering a professional, welcoming, and trauma-informed front office experience while ensuring efficient patient access, scheduling coordination, documentation compliance, and communication between clinical and administrative teams. This position plays a critical role in maintaining daily front office operations and supporting timely access to behavioral health services. Responsibilities include but not limited to: Client Experience & Front Desk Operations Greet clients, families, visitors, and vendors in a professional, welcoming, and confidential manner Check clients in for appointments and notify clinical staff of arrivals Maintain a calm and professional environment for clients who may be experiencing emotional distress or crisis situations Scheduling & Patient Access Schedule, reschedule, cancel, and backfill appointments for therapy, psychiatry, and other behavioral health services Manage provider schedules to maximize appointment utilization and reduce gaps Registration, Insurance & Financial Responsibilities Verify demographic information and other required documentation at each visit Collect co-pays, balances, and other payments while maintaining accurate documentation Process payment transactions and maintain financial accountability standards Administrative & Operational Support Answer and route incoming phone calls using multi-line phone systems Monitor EHR alerts, documentation requirements, and client account updates Team Collaboration & Compliance Communicate effectively with therapists, case managers, psychiatric providers, nursing staff, billing teams, and leadership Maintain HIPAA compliance and client confidentiality standards Complete additional duties as assigned based on operational needs Qualifications include but not limited to: High school diploma or GED required Minimum 2 years of customer service, medical office, behavioral health, or administrative experience preferred Experience working in healthcare, behavioral health, or human services strongly preferred Experience with scheduling systems, EHR platforms, and insurance verification preferred Strong customer service skills Ability to remain calm in high-stress situations Problem-solving skills Professional boundaries and confidentiality awareness Trauma-informed and culturally responsive communication practices Ability to sit or stand for extended periods Frequent use of computers, phones, and office equipment
