At Ervin Physical Therapy (EPT) , we're looking for a Client Care Coordinator who brings warmth, organization, and professionalism to every interaction. Someone who enjoys helping people, solving problems, and keeping things running smoothly behind the scenes. This role is more than answering phones and scheduling appointments. You will be a key part of helping patients begin their care journey, stay engaged in their treatment, and feel supported from their first phone call to their final visit. Patients remember how they were greeted, how they were treated, and whether they felt cared for throughout their experience. As our Client Care Coordinator, you'll be the first impression and one of the most important connections patients have with our clinic. You'll help people navigate scheduling, answer questions, coordinate care, and create an experience that reflects our values of transparency, empathy, resiliency, teamwork, and innovation. What You'll DoNew Patient Scheduling & Lead Conversion Respond promptly and professionally to incoming patient inquiries Convert phone, email, and referral leads into scheduled evaluations Guide prospective patients through the scheduling process Help maintain a consistent and productive clinic schedule Follow up with prospective patients who have not yet scheduled Patient Communication & Customer Service Welcome patients and create a positive experience from the moment they arrive Answer phones and assist patients with questions and concerns Provide clear communication regarding appointments and clinic processes Build strong relationships with patients and their families Scheduling & Front Office Operations Manage provider schedules and appointment calendars Coordinate patient appointments efficiently Monitor daily schedules and communicate updates with the clinical team Help reduce cancellations and no-shows through proactive communication Insurance & Administrative Support Verify insurance information and patient demographics Assist patients with paperwork and required documentation Collect payments and maintain accurate records Support front-office administrative functions as needed EMR & Data Management Enter and update patient information accurately Maintain organized and complete electronic records Utilize Excel, Google Workspace, and clinic software systems Ensure patient information remains accurate and up to date You're a
