In this vital role, you will serve as the primary point of contact for our clients—ensuring they receive exceptional service from their initial inquiry through their ongoing care. The Client Care Coordinator plays a key role in the daily operations of our med spa. Your enthusiasm, communication skills, and attention to detail will help maintain a smooth workflow and create an outstanding client experience. This is an exciting opportunity to make a meaningful impact while working in a fast-paced, team-oriented setting. Duties Greet clients warmly and assist with appointment scheduling, rescheduling, and cancellations to optimize spa flow Manage client records accurately, ensuring confidentiality and compliance with privacy regulations Answer phone calls, emails, and all client inquiries in a professional and timely manner Process payments and maintain accurate financial and administrative records Keep the front desk and waiting area clean, organized, and welcoming Support the team with general administrative tasks as needed Explain treatment procedures and basic medical terminology to help clients feel informed and comfortable Coordinate communication between clients and providers, including relaying instructions, reminders, and follow-up information Experience Prior front desk, customer service, or medical spa/healthcare office experience highly preferred Familiarity with aesthetic or medical terminology is a plus Proven ability to support administrative functions within a busy medical spa or similar setting Strong organizational skills and keen attention to detail Ability to multitask and remain composed in a fast-paced environment Experience with medical office software or EMR systems is advantageous Professional, friendly, and client-centered demeanor If you're passionate about helping clients feel confident, supported, and cared for in a professional, calming environment, we'd love to meet you!
