Job Description
Client Support Associate Old Port Advisors is seeking a full-time Client Support Associate to join our growing team in the heart of downtown Portland. Established in 1994, we pride ourselves on fostering a dynamic, collaborative culture that prioritizes our clients' needs above all else. In this role, you will serve as the first point of contact for clients and visitors, playing a key part in delivering an exceptional client experience. From greeting guests and preparing for meetings to assisting with account setup and supporting our advisory team, you will help ensure every client feels welcomed, informed, and well cared for. Essential Duties and Responsibilities:
Greet and assist clients and guests in a professional and welcoming manner Manage front desk operations, including answering phones, responding to emails, and scheduling appointments Support advisors with client onboarding, including helping clients navigate online tools and preparing investment or planning reports Prepare and process documentation for new accounts, transfers, distributions, and other service requests Assist with client meeting preparation, including assembling materials and updating records Maintain accurate and well-organized client files and documentation Communicate with custodians and third-party providers as needed Order and manage office supplies, coordinate with building management as necessary Uphold strict client confidentiality and data protection standards Skills & Qualifications Associate or bachelor's degree preferred 1-2 years of experience in a professional office or financial services environment Excellent communication skills, both written and verbal Strong organizational skills with high attention to detail and the ability to manage multiple tasks Friendly, positive, and professional demeanor Willingness to learn and contribute to a team-oriented environment Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong computer skills, including the ability to navigate databases and manage client records Experience with CRM, trading, or financial planning software is a plus Benefits Competitive compensation based on experience 401(k) with company match Medical, dental, and vision insurance Generous PTO policy and paid holidays (NYSE schedule) Education reimbursement 100% paid parking Employer-paid contribution for Maine's Paid Family and Medical Leave (PFML) program Ability to Commute Portland, ME 04101 Ability to Relocate Portland, ME 04101 Relocate before starting work (Preferred) Schedule Monday through Friday (In-person)Job Type:
