Job Description

As our firm continues to grow, West Michigan Advisors is adding a Client Experience Associate to support our client service team and help enhance the overall client experience. This position is focused on delivering a high level of administrative and client support in a professional financial services environment. The Client Experience Associate plays an key role in ensuring smooth day-to-day operations and helping our team provide exceptional service to our clients. This position will work closely with financial advisors and the client service team to assist with a variety of administrative, operational, and client-facing responsibilities.
Key Responsibilities:
Front Office & Client Experience:
Serve as the first point of contact for clients and guests, creating a welcoming and professional office environment Greet and assist clients upon arrival and ensure a high-quality in-office experience Answer and direct incoming phone calls and manage general office communications Maintain a clean, organized, and polished reception area, conference rooms, and client-facing spaces Support the office hospitality experience, including beverage preparation and overall client readiness
Administrative & Operational Support:
Provide day-to-day administrative support to advisors and client service team members Assist with client scheduling, appointment coordination, and calendar management Handle incoming and outgoing mail, packages, and deliveries Maintain office supplies and assist with overall office organization and efficiency Support general workflow and operational processes across the team
Client Service Support:
Assist with preparation and processing of client paperwork and documentation Maintain accurate and organized client records Prepare letters, forms, and other supporting materials as needed Assist with client-related tasks and follow-up
End-of-Day Responsibilities:
Assist with check handling and deposit processing at the end of each business day in accordance with firm procedures Contribute to a professional, team-oriented environment and support the overall client experience of the firm
Schedule & Hours:
This position will be structured as a consistent, set weekly schedule (Monday-Friday) determined at the time of hire based on candidate availability and business needs. Total hours may range from 20-40 hours per week. This is not a variable or changing schedule; once established, the weekly schedule will remain consistent. This role requires in-office presence each weekday, including availability at the end of each business day to assist with check and deposit processing.
Compensation:
