Service Writer — Pontoon Dealership Position Summary The Service Writer serves as the primary liaison between customers and the service department. This role manages service intake, scheduling, work order flow, and communication to ensure accurate, timely, and professional service delivery for pontoon boats and related products.
- Key Responsibilities Customer Intake & Scheduling Greet customers promptly and professionally.
Document service concerns clearly, including notes and photos. Open repair orders with complete and accurate information. Schedule appointments based on shop capacity and priority. Work Order Management Create, update, and close repair orders. Maintain accurate records of labor, parts, and service notes. Monitor all open work orders and track progress daily. Communication Provide clear, consistent updates to customers regarding status, timing, and cost. Coordinate directly with technicians on scope, diagnostics, and timelines. Communicate with the parts department on availability and ordering. Estimates & Approvals Prepare written estimates and obtain customer authorization prior to work. Review completed work orders for accuracy before billing. Clearly explain completed work and invoices to customers. Coordination Work closely with sales to coordinate unit preparation and delivery schedules. Assist with warranty claim documentation and submission as required.
- Qualifications Prior experience as a service writer, advisor, or similar role preferred.
Previous employment in the hotel, restaurant, or customer hospitality industry strongly preferred. Strong organizational skills with attention to detail. Clear, professional communication skills (verbal and written). Ability to manage multiple priorities in a fast-paced environment. Basic mechanical understanding of boats and pontoons preferred.
- Work Environment & Expectations Customer-facing role with frequent interaction in both office and shop settings.
Regular use of dealership management systems, phone, and email. This is a full-time position averaging approximately 50 hours per week, with increased demands during peak season (May-October), including Saturday availability. Maintain a clean, organized, and customer-ready workspace at all times.
