Job Description

Job Summary We are seeking an energetic and dedicated Customer Service Representative to join our dynamic team! In this vital role, you will be the friendly face and helpful voice for our customers, providing exceptional support and ensuring their needs are met with professionalism and enthusiasm. Your positive attitude and organizational skills will help create a welcoming environment, whether answering multi-line phone systems, managing front desk operations, or assisting with administrative tasks. This paid position offers an exciting opportunity to develop your office management expertise while delivering outstanding customer service across various channels. Hours- M-Th 8am-5pm, Friday 8am-2:30pm Once trained in, rotating Saturday's 12pm-5pm. The Saturday shift will typically be assigned every 3 weeks. If you are scheduled a Saturday shift, you can choose to work that shift for overtime pay, or you have the option of cutting out 5 hours from your weekday shift. Responsibilities Greet visitors and clients at the front desk with a warm, professional demeanor, ensuring a positive first impression. Answer and direct incoming calls using multi-line phone systems, demonstrating excellent phone etiquette and communication skills. Manage appointment scheduling, calendar management, and data entry to keep office operations running smoothly. Handle clerical duties such as filing, proofreading documents, maintaining records, and organizing office supplies. Provide customer support by addressing inquiries promptly via phone or email, ensuring customer satisfaction at all times. Assist with bookkeeping tasks using QuickBooks or similar accounting software to support office management functions. Support administrative functions including typing reports, managing Google Workspace documents, and supporting personal assistant tasks as needed. Requirements Proven experience in office management, clerical work, or customer service roles within a professional setting. Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and general computer literacy. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Bilingual abilities are highly desirable to serve diverse customer needs effectively. Experience with front desk operations, multi-line phone systems, data entry, filing, and proofreading is preferred. Knowledge of office equipment such as fax machines, scanners, and printers is advantageous. Demonstrated ability to provide exceptional customer service with professionalism and patience.
