Job Description

Client Care Coordinator (Veterinary Hospital) Where Compassion Meets Connection Job Description No two days are ever the same in a veterinary hospital—and that's exactly what makes this role so rewarding. As a Client Care Coordinator , you are the heart of the client experience—the first friendly voice on the phone and the welcoming face at the front desk. You'll guide pet parents through their pets' care with empathy, clarity, and professionalism, while supporting a fast-paced, AAHA-accredited team dedicated to exceptional medicine and patient safety. What You'll Do Welcome clients and their pets with warmth and professionalism—both in person and over the phone Manage a multi-line phone system, schedule appointments, and coordinate client communication Check patients in and out, prepare invoices, and process payments accurately Maintain detailed electronic medical records and client information Clearly explain hospital policies, routine procedures, and basic care recommendations Prepare important documents including vaccination records, lab requests, and health certificates Support veterinarians and technicians by relaying information efficiently Keep the front office clean, organized, and inviting Assist with client communication such as reminders, welcome messages, and sympathy cards Educate clients on preventive care and over-the-counter products Build lasting relationships—turning first-time visitors into lifelong clients You'll work closely with a supportive team, and most shifts include another client services team member by your side. What We're Looking For Outstanding customer service skills with a calm, confident, and professional presence Strong multitasking and organizational abilities in a fast-paced environment Comfort with computers and the ability to learn new systems quickly Excellent attention to detail, especially with records and financial transactions Strong verbal and written communication skills A team-oriented mindset with a positive, can-do attitude Education & Experience High school diploma or equivalent required Typing and general computer proficiency required Veterinary or medical office experience is a plus—but we're happy to train the right person Physical & Work Environment Ability to lift up to 40 lbs Ability to sit or stand for extended periods Comfort working in a veterinary environment (including noise, odors, and animal handling risks) Schedule 24-36 hours per week (based on availability) Must be available for opening and closing shifts

7:30 AM - 7:00
PM Friday:
