REPORTS TO
Community Engagement and Operations Supervisor PURPOSE The purpose of the Client Services Specialist position is to enhance client and public satisfaction by professionally greeting and assisting visitors and callers, ensuring they are promptly connected to the appropriate services or department, while fostering an atmosphere of compassion and support. This position also contributes to the efficient operations of the organization by providing essential administrative and clerical support services.

Serves as the face of the organization for clients in person and on the phone, offering welcome and assistance. 2.
CLERICAL SERVICES
Promotes efficiency by providing general secretarial support, as assigned. 3.
OPERATIONS SUPPORT
Promotes efficiency by providing specific operational support.
QUALIFICATIONS
Minimum of a high school degree or equivalent Previous office experience Experience in customer service strongly preferred.
KNOWLEDGE, SKILLS AND ABILITIES
Excellent communication skills on the phone and in person Strong interpersonal skills Demonstration of professionalism Proven ability to multi-task Strong computer skills and working knowledge of Microsoft Office and Excel; familiarity with other computer programs helpful Basic knowledge of clerical practices and procedures Team player

RESPONSIBILITIES RECEPTION
Serves as the face of the organization for clients in person and on the phone, offering welcome and assistance. Greets people who come into the office and provides immediate assistance Provides directions and guidance for the building, as needed Answers phone, provides assistance or triages calls Follows all pertinent policies and procedures
CLERICAL SERVICES
Promotes efficiency by providing general secretarial support, as assigned. Updates and maintains agency forms, as needed Provides data entry Prepares and processes template letters Assists in coordinating daily assessments and quarterly evaluation
OPERATIONS SUPPORT
Promotes efficiency by providing specific operational support. Coordinates incoming and outgoing mail Coordinates incoming and outgoing mail Assists, in coordinating onsite vendor services, as needed Maintains inventory of agency supplies and places orders, as needed Maintains and monitors a schedule of MOUs and other extra-agency communications, as assigned Assists with public in-kind donations Assists in coordinating food and beverages for monthly meetings, as needed Assists in training new front desk volunteers, as needed Assists with special projects as time permits
PHYSICAL/ENVIRONMENTAL REQUIREMENTS
This work is primarily sedentary, requiring communicating clearly, seeing, hearing, talking, concentrating, reading, and operating office equipment such as a computer, calculator, copier, and scanner. Work is primarily in a climate controlled area with office equipment level of noise.
EVALUATION
The performance of the Client Services Specialist will be evaluated annually by the Community Engagement and Operations Supervisor according to pre-determined objectives and policies. Open Until Filled Revised 5/2026
