Responsibilities Receive and handle incoming calls from customers to determine need, level of urgency and distribute to appropriate department personnel. Check in, tag, and inspect all customer machines coming into the service department. Communicate with customers on the status of the machine repairs in accordance with the company's Service Communication Policy. Open work orders to correct billing codes, input machine information and prepare work orders for closing. Verify customer machine warranty status and submit claims in accordance with OEM guidelines. Ensure quality control checks have been completed on all outgoing machines and they been thoroughly cleaned before return to the customer. Monitor OEM Service Letter status and notify Service Managers of pending expirations, assist as needed in the scheduling of the work. Assist Service Manager in preparing customer quotations. Monitor service truck D.O.T inspections, preventive maintenance intervals and toll calibration certification. Maintain department tool list and report needed repairs and/or replacement needs. Conduct daily review of the Work-in Process (WIP) report and notify Branch Service Manager of any shop or field work orders open greater than 30 days. Ensure that all government contracts are billed in accordance with the contract guidelines, terms, and conditions. Assume responsibility for processing all C.O.D. payments including customer checks or credit card payments. Maintain Service Department files, records or other pertinent information and documents. Process and monitor shop service department personnel pay roll entries. Create and execute service department purchase orders and coordination with outside vendors. Schedule monthly Safety Meetings with Service Department personnel. Coordinate any JESCO furnished or OEM on-site training with Service Department personnel. Fill in for Service department personnel as needed. Actively participate in all on-line and instructor led training to continuously improve working knowledge of the business, our industry, products, and their applications. Communicate any client information that may affect company decisions to appropriate department personnel as needed. Ensure that you are working in accordance with all company safety standards and policies to promote a safe workplace. Perform other duties as assigned.
