Job Overview General Description of Position:
The client service representative (CSR) provides the first and last impressions of the hospital to clients and patients. This is primarily a clerical position with some client education and sales.
Required Skills, Knowledge:
The employee must be respectful and professional in all client interactions, especially in crisis situations. Multitask with multiple interruptions. Must be emotionally resilient during patient euthanasia, emergency situations, and client conflict. Demonstrate salesmanship abilities to promote products and services. Communication skills in resolving conflict, recording information from owners and veterinary staff, and giving instructions for home care plans from practitioners.
Functions:
Prepare invoices, complete payment transactions, and process financial assistance. Communicate with clients for information packet questions and instructions. Promote services and preventative care products for patients. Complete hospital/office opening and closing procedures. Process consent forms, medical records, treatment plans, documents, and spread sheets. Collect and distribute information from hospital staff and clients. Communicate with clients in a friendly manner, reassuring and comforting distressed pet owners. Ensure a clean, odor free waiting area. Admit and release all patients and boarding guests. Dispense patient medications to clients. Maintain health and rabies certificates. Schedule appointments and boarding reservations. File records. Send out mailings. Restock office supplies. Order hospital supplies as needed. Send, receive, and distribute faxes, phone calls, text messages and emails. Assist doctors or technicians when needed. (Some patient restraint may be required) Perform day, month, and year end procedures. Assist with housekeeping/cleaning tasks. Perform all functions within the Buffalo Veterinary Group core values. Perform other duties as assigned
Authority Boundaries:
You are under the direct supervision of the practice manager or CSR team lead. You will work with other client services representatives to complete the tasks of the position. You are to report concerns to the CSR team lead for assistance on how to handle any client or coworker concerns.
Physical Demands:
The employee is frequently required to bend, stand, stoop, walk, sit, talk, and listen. The employee may be required to walk or stand for long periods of time, and they will use their hands extensively to write and type. The employee must be able to occasionally lift and/or move up to 50 pounds and must be able to see clearly. It is not beyond reason to expect the employee to be on their feet 90% of the workday.
Work Environment:
The work environment consists of several rooms containing the necessary equipment and supplies for the care and treatment of small animal patients. While performing the duties of this job, the employee is exposed to hazards associated with aggressive patients (i.e. bites, scratches), zoonotic/ contagious diseases, controlled substances, unpleasant odors and noises, and animal waste. Supplies utilized by the employee are potentially hazardous unless the proper safeguards, safety equipment and procedures are used. The employee must use the medical equipment and supplies in a safe and effective manner in compliance with OSHA requirements.
Continuing Education and Training:
Maintain current knowledge of BVG computer system, and preventative veterinary medicine. Some offsite training may be required. The practice may provide additional training when necessary. The practice may provide additional training when necessary. All team members are trained on current safeguards they should take when performing duties. As new techniques and/or equipment are introduced, proper training will accompany them.
Pay:
$17.00 - $19.00 per hour
