Position Summary:
The Service Advisor serves as the primary point of contact between customers and the dealership's service department. This role is responsible for providing exceptional customer service, accurately documenting vehicle concerns, recommending maintenance and repair services, coordinating with technicians, and ensuring timely communication throughout the repair process. The Service Advisor plays a key role in delivering an outstanding ownership experience while supporting departmental sales and profitability goals.
Functional Skills & Responsibilities:
Greet customers promptly and professionally, creating a welcoming and positive service experience. Listen carefully to customer concerns and accurately document vehicle symptoms and requested services. Inspect vehicles with customers when appropriate and recommend manufacturer-required maintenance and repairs. Prepare detailed repair orders and obtain customer authorization before work begins. Communicate repair progress, delays, and additional recommendations throughout the service visit. Coordinate workflow with technicians, dispatch, parts, and management to ensure efficient repairs. Review and book completed repairs for accuracy and explain invoices and performed services to customers. Promote maintenance packages, manufacturer-recommended services, and dealership value-added products. Schedule future maintenance appointments and encourage customer retention. Resolve customer concerns professionally and escalate issues to management when necessary. Monitor repair order status to ensure timely completion and delivery. Maintain compliance with manufacturer warranty policies and dealership procedures. Accurately process payments and ensure repair orders are completed with proper documentation. Maintain customer records and notes within the dealership management system (CDK). Achieve individual and departmental customer satisfaction, sales, and performance goals.
Preferred Education/Qualifications:
High school diploma or equivalent required; associate degree or automotive training preferred. Previous experience as a Service Advisor or in automotive customer service preferred. Strong knowledge of automotive maintenance and repair terminology. Excellent communication, interpersonal, and conflict resolution skills. Ability to multitask in a fast-paced environment while maintaining attention to detail. Basic computer proficiency and experience with dealership management systems CDK preferred. Valid driver's license and insurable driving record. Ability to maintain professionalism and confidentiality at all times.

Work Environment & Physical Requirements:
Fast-paced automotive dealership environment. Frequent interaction with customers, technicians, vendors, and other dealership personnel. Weekend and extended hours may be required based on business needs. Ability to stand and walk for extended periods. Frequent use of computers, telephones, and office equipment. Occasionally enter and exit customer vehicles. Ability to lift up to 25 pounds as needed. Work in both office and shop environments with exposure to varying temperatures and noise levels.
