Job Description

Job Summary Our busy legal firm is looking for an efficient, organized legal assistant to help our attorneys and paralegals assist clients and ensure we're operating efficiently. You'll assist with the preparation of legal documents, and handle all office correspondence, including answering phone calls and emails, arranging meetings and travel, and reminding the team of upcoming deadlines. Responsibilities Greet clients and answer phones at both offices; triage prospective client calls using our intake procedures and make sure every inquiry is properly logged and routed to the right team member Provide logistical support for estate planning and estate administration signing meetings: prepare packages, coordinate notary and witnesses, attend meetings, and complete all post-signing tasks the same day Keep both offices running: daily mail distribution and scanning, document filing and shredding, billing statement preparation, and client file maintenance in Smokeball Support the Estate Planning Legal Assistant with trust funding follow-up correspondence and client communication tasks as directed Prepare materials and folders for client consultations and intake appointments Proofread documents and correspondence before they go out Work in Smokeball, Lawmatics, and other firm systems — we will train you on all of it Act as the main liaison between clients and internal teams, ensuring clear communication and timely resolution of inquiries Manage client accounts using CRM (Customer Relationship Management) systems such as Salesforce to track interactions, opportunities, and service requests Support project management efforts by coordinating tasks, timelines, and deliverables across departments to meet client expectations Assist in developing and executing marketing strategies aimed at enhancing client engagement and retention Analyze client data to identify trends, opportunities for growth, and areas for improvement in service delivery Provide exceptional customer service by addressing questions, resolving issues promptly, and maintaining positive relationships Collaborate with sales teams to identify upselling opportunities and support new business development initiatives Qualifications Warm, professional, and calm under pressure — the clients we serve are often going through one of the hardest times of their lives, and the way you answer the phone matters Ability to comfortably use all Microsoft Office products Minimum 1-2 years of experience in a law firm or office environment as an administrative assistant or secretary Candidates should have strong organizational skills and communication skills Must be able to type at least 50 WPM Associate's degree, or some college is preferred; high school diploma or equivalent is necessary Organized and reliable: you follow through, you don't drop tasks, and you take ownership of your work without needing to be reminded Comfortable traveling between Hamburg and Wyomissing offices on a regular weekly schedule — both are accessible in the greater Berks County area Strong written communication skills: accurate spelling, grammar, and attention to detail are essential in this role
Tech-comfortable:
proficiency in Microsoft Office and a willingness to learn document management and legal software Prior experience in a law firm, financial services office, medical practice, or other professional services environment is a plus Prior experience or familiarity with estate planning, probate, or estate administration is a plus but not required Interest in growing into a legal assistant career — this role has real room for development for the right person
Pay:
$19.00 - $22.00 per hour
