Job Description

Doylestown Air is a family-owned residential HVAC company serving homeowners throughout Bucks County, PA. We are growing and looking for an exceptional Customer Service Representative / Dispatcher to help us deliver the kind of communication, follow-through, and customer care that creates 5-star experiences. This is not just a "phones and scheduling" role. This person will be the voice of our company, the steady hand behind the dispatch board, and a key part of making sure our technicians and customers are supported throughout the day. If you are organized, calm under pressure, genuinely customer-focused, and take pride in getting the details right, we would love to talk with you. What You'll Do Answer incoming calls with warmth, professionalism, and confidence Schedule service calls and maintenance appointments Manage and update the dispatch board throughout the day Communicate clearly with technicians and customers about arrival windows and delays Gather accurate service-call details and enter clean notes into our CRM Support maintenance agreement scheduling and follow-up Follow up on estimates, open invoices, and customer communication tasks Help request Google reviews after positive customer experiences Handle customer concerns with empathy, ownership, and professionalism Support a smooth, organized office operation every day What Success Looks Like Customers feel taken care of from the first phone call Technicians leave with clear job information and accurate notes The board stays organized and current Customers are updated before they have to ask Maintenance opportunities and follow-up items do not fall through the cracks You help make Doylestown Air feel dependable, responsive, and easy to work with What We're Looking For 2+ years of customer service, dispatch, scheduling, or office coordination experience Home service industry experience strongly preferred HVAC, plumbing, electrical, or similar residential service experience is a big plus Strong phone skills and a polished customer-service presence Excellent organization and follow-through Ability to multitask and stay calm in a fast-paced environment Strong computer skills and comfort learning dispatch/CRM platforms Experience with FieldEdge, ServiceTitan, or similar software is a plus Detail-oriented, dependable, and team-first Able to communicate clearly with both homeowners and technicians Why Join Doylestown Air Family-owned company with a strong local reputation Opportunity to play a key role in the customer experience Competitive pay for the right person Supportive team environment Clear expectations and room to grow Work that matters to customers and the field team every day
