25-30 hours per week Growth Opportunity to Full-Time Available We are actively hiring a Commercial Accounts Assistant to support our growing Commercial Fleet Sales and Government Bidding Department . This role is ideal for candidates with experience or interest in: Administrative Assistant Commercial Account Support Fleet Sales Support Government Bid Coordination Customer Service Dealership Administration Account Management Business Development CRM Management Fleet Operations Automotive Industry Support The Commercial Accounts Assistant will work directly with the Commercial Manager to assist with commercial fleet accounts, municipal and government bids, customer communication, vehicle delivery coordination, dealership administration, CRM follow-up, and operational support . Key Responsibilities Government Bids & Commercial Fleet Support Monitor and track NY State bids, PA COSTARS bids, municipal contracts, government fleet bids, and commercial account opportunities Research and identify additional commercial fleet sales opportunities Assist with preparing and submitting government bid proposals, commercial quotes, pricing requests, and contract documentation Maintain accurate records of bid deadlines, awards, renewals, and account requirements Coordinate with dealership departments regarding vehicle availability, fleet inventory, pricing, and specifications Support growth of commercial business accounts in the Elmira, Corning, Binghamton, and Valley regions Customer Service & Commercial Account Management Provide professional customer service through phone calls, email communication, and account follow-up Assist commercial and fleet customers with quotes, orders, deliveries, and account support Maintain customer records within CRM systems and dealership software Support onboarding of new commercial accounts and fleet customers Assist with appointment scheduling and account communications Conduct customer follow-up and CRM task management Print, mail, and email commercial prospecting materials and account correspondence Administrative Assistant & Office Support Perform administrative support for the Commercial Manager and commercial sales department Handle data entry, document management, spreadsheets, and internal reporting Contact insurance companies for certificates, coverage verification, and compliance documentation Assist with registration paperwork and commercial fleet documentation Support office organization, workflow improvements, and operational efficiency Fleet Vehicle Delivery & Logistics Coordinate commercial vehicle deliveries and customer drop-offs Assist with delivery scheduling and fleet logistics Occasionally deliver vehicles to commercial customers and fleet locations Coordinate with sales and service departments to ensure vehicles are prepared for delivery Qualifications Required Qualifications Strong organizational and multitasking skills Excellent communication and customer service abilities Professional phone etiquette High attention to detail and accuracy Ability to work independently and meet deadlines Computer proficiency including: Microsoft Office Email communication CRM systems Spreadsheets and data entry Valid driver's license with clean driving record Preferred Experience Administrative Assistant experience Customer Service Representative experience Automotive dealership experience Fleet sales or commercial account support experience Government contract or bid coordination experience CRM software experience Office administration or account management background Why Join Our Team?
