OVERALL FUNCTION
The Client Service Associate role will assist our firm in maintaining an efficient, organized office that allows the financial advisors to focus their energy on building client relationships and generating new business. The individual in this role will act as a liaison between the financial advisors, clients, and our investment and insurance support teams.
GENERAL RESPONSIBILITIES
  • Document client case notes in CRM system, manage both hard copy and electronic client correspondence and maintain compliant client case files
  • Input data, print proposals and gather information at direction of financial advisor in preparation for client meetings
  • Contact clients to confirm receipt of forms or request return of completed forms
  • Maintain current client information in CRM database and electronic client files
  • Communicate with home office and outside companies as needed to supply or obtain information to process new business or service existing business
  • Prepare/print applications, new account paperwork, letters of instruction, etc. for client signature
  • Prepare insurance policies for client signature and delivery Client Service Support
  • Review insurance applications, conversions and policy changes for completeness and accuracy and return to advisor for any missing information
  • Arrange medical, paramedical and any exams necessary to fulfill insurance underwriting requirements
  • Provide current status and account values for non-securities related accounts
  • Contact clients regarding late payments
  • Monitor and expedite requirements needed in the underwriting process
  • Process incoming non-securities related insurance service requests from clients (process address changes, bank change information, loan requests and billing service inquiries)
  • Prepare account summaries for client review meeting
  • Receive and forward checks and related paperwork to the network office and home office operation areas
  • Provide account values and performance to clients at the direction of advisor
  • Initiate fund transfers, exchanges and redemption requests
  • Gather information for client meetings with clients/prospects (prospectuses, annual reports, Morningstar reports)
  • Enter client data into planning software Qualifications
  • Experience in administrative support or customer service
  • Health and life licensed (or gain licensing within 6 months of employment)
  • Excellent oral and written communication skills
  • Familiarity with Microsoft applications and data entry and information retrieval software
  • Demonstrated organizational and time management skills and ability to multitask, set priorities and meet deadlines
  • Strong attention to detail with the ability to work with a high degree of accuracy
  • Ability to work in a fast-paced environment
  • Ability to work both independently and on a team
  • Ability to maintain confidentiality

Pay:
$45,000.00 - $65,000.00 per year
