POSITION SUMMARY
The Onboarding Associate manages the full account consolidation process for new client relationships, overseeing all account openings, transfers, and documentation from initiation through completion. This position requires a detail-oriented professional capable of independently coordinating across clients, custodians, and internal teams to ensure seamless transitions. The ideal candidate combines strong organizational skills with excellent communication and follow-through, maintaining accuracy and momentum while balancing multiple onboarding projects simultaneously.RESPONSIBILITIES
Independently manage the account consolidation process for 30+ new client households simultaneously, ensuring timely and accurate completion of all onboarding steps. Establish client profiles, open new financial accounts, and prepare account documentation in accordance with firm standards and custodial requirements. Coordinate with clients, the broker-dealer, and contra firms to initiate, monitor, and reconcile incoming account transfers through completion. Communicate directly with clients to provide regular updates on consolidation progress, outstanding items, and next steps. Maintain consistent communication with internal teams to keep all stakeholders informed of onboarding status and key milestones. Review and audit submitted transfer and account requests to confirm accuracy, completeness, and proper execution by external institutions. Handle client-facing inquiries independently, escalating when outside scope or requiring advisor input, while maintaining high-touch communication. Manage document and file-maintenance tasks related to active client accounts to support accurate client servicing and record keeping. Provide value-add to clients by anticipating follow-up needs (e.g., checking for outstanding signatures, confirming instructions, verifying transaction completion) and acting without prompting.REQUIREMENTS
2+ years' experience in the wealth management industry Knowledge of standard account transfer systems and how to utilize them Knowledge of typical account registrations and the function, restrictions, and features of each. High level of service orientation, exceptional interpersonal skills, and the ability to interact with individuals at all levels of the organization. Excellent organizational skills to prioritize and complete work efficiently. The ability to manage multiple responsibilities and requests with competing deadlines in a fast-paced and high-performance work environment. Strong verbal communication skills to express ideas and thoughts in a clear, professional manner. The ability to exercise independent judgement with minimal supervision and maintain a high degree of confidentiality regarding client affairs. Professional, service-oriented demeanor with pleasant, business-appropriate phone manners. Effective problem-solving skills to resolve routine client questions. The ability to follow instructions, including a strong adherence to meet deadlines. "Team player" mindset, willingness to do whatever is needed, big or small.
