About Us:
We are a bookkeeping firm in Southern Pines, NC and we are looking for a Client Success Associate who can keep our operations running smoothly behind the scenes and help us maintain and strengthen client relationships. This position is a Part-Time, hybrid remote position, with 10-20 hours per week expected. This role supports both the internal team and our clients. The Client Success Associate role will own lead outreach and qualification, marketing support, sales, lead follow‑up, partnership outreach and nurture, client onboarding, day‑to‑day client care, invoicing, and email inbox management. This is an ideal position for someone who enjoys keeping the systems running, enjoys talking with people, has strong sales and marketing skills, and communicates well.Key Responsibilities day-to-day:
Client Success & Client Support Manage general company inboxes and route messages to the right team members. Assist with onboarding new clients—collecting documentation, setting up files, and coordinating with the bookkeeping team. Maintain digital filing systems, client records, and internal trackers. Monitor internal deadlines, follow up with staff or clients as needed, and help projects stay on schedule. Be a source of support for the team and our clients . Sales & Marketing Support Help manage the firm's sales pipeline: schedule discovery calls, send follow-ups, and track leads. Draft and send outreach emails or marketing updates to clients and prospects. Assist with social media, newsletters, or content coordination. Support preparation of proposals, service quotes, and engagement letters. Partner & Client Relationship Management Serve as a first point of contact for client questions and updates. Track client satisfaction and proactively check in to ensure ongoing needs are met. Coordinate quarterly client updates or service reviews. Follow up with clients for missing information, signatures, or feedback. Help identify opportunities for expanded services or improved client experience.Qualifications:
Prior experience in office administration, client service, or marketing coordination (experience in a bookkeeping or financial services environment preferred). Strong organizational skills, with the ability to manage multiple priorities and deadlines. Excellent communication and follow-up skills. Experience using technology tools (Google Workspace, CRM systems, QuickBooks, ClickUp/Asana, or similar). Professional, reliable, and proactive—able to anticipate needs and take ownership of tasks. Ability to handle sensitive information with discretion and professionalism. Self-motivated, resourceful, and able to prioritize tasks. Must be able to lift 25 pounds. Must be able to sit, stand, and walk for extended periods of time as well as navigate stairs. Will occasionally need outside errands performed, therefore a dependable and insured vehicle, a clean driving history, and a valid driver's license are required. This position will be mostly in-office, with occasional work shifts remote. Must have adequate space and privacy available during work hours for meetings and productivity requirements.What We Offer:
