HVAC Customer Service Representative / Dispatcher

We're growing and looking for a friendly, organized, and detail-oriented HVAC Customer Service Representative / Dispatcher to become the voice of our company and help keep our operations running smoothly. As a Customer Service Representative & Dispatcher , you are a key member of the team and represent Aire Serv on every customer interaction. You are responsible for handling service requests, scheduling, dispatching, and customer concerns while exemplifying our Code of Values by showing Respect, Integrity, and Customer Focus to all customers and team members. You are self-motivated, energetic, and enjoy helping people. You are driven to provide the highest level of customer service and satisfaction and can effectively manage a variety of situations on a day-to-day basis. Specific Responsibilities Receive incoming calls in a professional and courteous manner Schedule service appointments, maintenance visits, installation estimates, and replacement consultations Dispatch and assign daily work orders to technicians and installers Coordinate and manage the daily schedule, adjusting as priorities change Complete work orders and process customer invoices Return customer calls and professionally respond to customer concerns and complaints Make outbound follow-up calls to ensure customers are satisfied with the service they received Maintain accurate customer records and notes Assist with home warranty claims and scheduling when applicable Perform marketing and sales functions by identifying opportunities to offer additional services that benefit the customer Maintain office services by organizing office operations and procedures and preparing and reviewing purchase orders Perform other duties as needed, including cross-training in related positions What We're Looking For Minimum of 2 years of administrative or customer service experience Strong written and verbal communication skills Detail-oriented with excellent data entry and organizational skills Positive attitude and professional phone presence Team player who can also work independently Comfortable working in a home office environment Strong computer skills, including Microsoft Office Typing skills are a plus Ability to multitask and remain calm in a fast-paced environment Preferred Qualifications Experience using ServiceTitan Previous dispatching experience in HVAC or other home service industries Experience working with home warranty companies , including American Home Shield Familiarity with scheduling service technicians and installation crews Why Join Aire Serv of Mechanicsville?
