Job Description

Ada West Dermatology is seeking an experienced and patient-focused Medical Scheduling/Call Center Specialist to join our team. This role is ideal for someone who thrives in an extremely fast-paced, high-volume healthcare environment and is passionate about providing exceptional service to patients and teammates alike. Position Summary The Medical Scheduling / Call Center Specialist serves as a primary point of contact for patients, assisting with appointment scheduling, call management, insurance-related scheduling requirements, and overall patient communication. Candidates must be highly reliable, technologically proficient, detail oriented, and able to maintain professionalism and compassion while managing a high call volume. Key Responsibilities Answer and manage a high volume of inbound patient calls professionally and efficiently Schedule, reschedule, and confirm patient appointments accurately Verify and understand insurance requirements related to scheduling and referrals Provide excellent customer service with empathy, patience, and professionalism Document patient interactions accurately within the electronic medical record system Communicate effectively with providers, clinical staff, and fellow team members Prioritize tasks and maintain accuracy in a fast-paced environment Maintain confidentiality and comply with HIPAA requirements Qualifications & Requirements Previous experience in a medical scheduling or call center environment preferred Knowledge of insurance companies and scheduling requirements strongly preferred Experience with ModMed / EMA is a plus Highly detail oriented with strong organizational and prioritization abilities Comfortable learning and using multiple technology platforms Ability to multitask and remain composed under pressure Must type a minimum of 50 WPM Reliable attendance and strong work ethic required High school diploma or equivalent required; additional healthcare administrative experience preferred At Ada West Dermatology, our culture is guided by our core values: Integrity — We do the right thing, even when no one is watching.
