Operations & Customer Support Coordinator Independent Contractor | Remote / Hybrid | Reports to COO Company Overview Spartans LLC is a dynamic organization dedicated to providing valuable content and resources to its members. About the Role The Operations & Customer Support Coordinator plays a central role in keeping our day-to-day business running smoothly while providing executive-level support to the Chief Operating Officer. You will be the go-to person for customer resolution, operational coordination, and administrative efficiency across the organization. This is an independent contractor (1099) position. Daily Responsibilities Customer Support Ticket Management Manage 25-40 daily support tickets including refunds, billing inquiries, account cancellations, and technical troubleshooting (login issues, app crashes, missing content, audio glitches). Create and configure Zoom accounts as needed, logging all new accounts and resolutions in the shared tracking system for team visibility. Phone and Voicemail Support Respond promptly to incoming calls and review voicemails daily to address customer inquiries and resolve concerns in a timely manner. Payment Dispute Resolution Compile supporting documentation to counter Stripe disputes, respond within required deadlines, and maintain detailed tracking of dispute outcomes and trends. Weekly Responsibilities Events Committee Participation Attend weekly events committee meetings and prepare detailed meeting summaries. Assist in planning and scheduling team events and conferences, including coordinating speakers, volunteers, schedules, and graphic design assets. Newsletter Production (The Legacy) Lead theme development for each newsletter volume, curate written content and imagery, oversee design layout, and collaborate on editing and proofreading. Executive Support Responsibilities Draft and manage email correspondence on behalf of the COO, ensuring accuracy and a professional tone. Prepare meeting agendas, attend meetings, and provide real-time administrative support during discussions. Maintain organized files, documents, and records for efficient access and retrieval. Support executives with report generation, document preparation, and ad hoc administrative tasks as needed. Onsite Event Management Develop and execute event plans for events held throughout the country, ensuring seamless logistics and a high-quality participant experience. Coordinate with vendors, venues, and stakeholders to organize successful events from pre-planning through post-event wrap-up. Provide hands-on, onsite event support alongside the COO, managing day-of operations and troubleshooting issues in real time. Travel to event locations as needed to oversee setup, execution, and breakdown. Hotel, airfare, and transportation are covered by the company. Qualifications 2+ years of experience in an operations, administrative, or customer support role. Exceptional attention to detail and strong organizational skills. Excellent written and verbal communication abilities. Ability to manage multiple priorities and thrive in a fast-paced environment. Proficiency with common business tools (email platforms, Stripe, Zoom, Google Workspace or Microsoft Office). Experience with newsletter or content production is a plus. Willingness and ability to travel for onsite events throughout the country. A proactive, solutions-oriented mindset with a team-first attitude. Must be able to provide your own equipment and workspace. Contractor Details This is a 1099 independent contractor position, not a W-2 employee role. You will be responsible for self-employment taxes, health insurance, and any other personal benefits. Payment will be issued on a [weekly / biweekly] basis upon submission of invoices or timesheets.
