In this vital role, you will be the friendly face and voice of our organization, providing exceptional support to our customers through various communication channels. Your enthusiasm, organizational skills, and ability to handle multiple tasks with professionalism will ensure every customer interaction is positive and productive. This position offers an exciting opportunity to develop your office management and customer service expertise while contributing to a welcoming and efficient environment. Responsibilities Respond promptly and professionally to customer inquiries via multi-line phone systems, email, and in-person interactions. Manage front desk operations, including greeting visitors, scheduling appointments, and maintaining a welcoming atmosphere. Utilize computer skills to update customer records, process data entry tasks, and manage filing systems efficiently. Support office management tasks such as calendar management, appointment scheduling, and document proofreading to ensure accuracy. Provide exceptional customer support by addressing concerns, resolving issues promptly, and maintaining positive relationships. Handle clerical duties including filing, data entry, and managing correspondence using Microsoft Office and Google Workspace tools. Demonstrate excellent phone etiquette while managing multi-line phone systems and assisting with administrative tasks as needed. Requirements Proven office experience with strong organizational skills and attention to detail. Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace. Prior clerical or administrative experience supporting office operations or medical/dental reception is preferred. Strong customer service skills with the ability to communicate effectively in bilingual settings (additional language skills are a plus). Familiarity with QuickBooks or bookkeeping experience is advantageous for handling basic financial tasks. Ability to manage time efficiently in a fast-paced environment while maintaining professionalism. Knowledge of phone etiquette, data entry procedures, filing systems, and proofing documents for accuracy.
