Job Description

Job Overview We are seeking a reliable, energetic, and personable Office Assistant / Customer Service Representative to join our growing HVAC company! This role is perfect for someone with a great personality who thrives on the phones, excels at multitasking, and is eager to grow with our team. You will handle daily office tasks, customer service, scheduling, dispatching, vendor calls, and payment processing while taking on more responsibilities as the company expands. If you bring positive energy, strong phone skills, and a willingness to learn and help grow the business, we want to hear from you! Responsibilities Answer and manage incoming calls on a multi-line phone system with a friendly, professional, and upbeat attitude Deliver excellent customer service by addressing client questions and concerns via phone and email Schedule and dispatch service calls, maintenance appointments, and technician routes Call supply shops and vendors to order parts and materials Collect and handle customer payments, process invoices, and maintain accurate records Perform data entry and support basic bookkeeping tasks using QuickBooks and Microsoft Office/Google Workspace Assist with daily office operations including filing, organizing documents, managing supplies, and preparing paperwork Help coordinate technician schedules and job timelines Take on additional responsibilities over time to support office operations and contribute to company growth Experience & Qualities We're Looking For A great personality with a positive, can-do attitude is a must Excellent phone skills and the ability to communicate clearly and professionally Strong multitasking abilities and comfort working in a fast-paced environment Willingness to learn, grow in the role, and help grow the company Previous office, administrative, or customer service experience is preferred but not required Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace is a plus Experience with QuickBooks, scheduling/dispatching, or handling payments is a plus Familiarity with the HVAC or service industry is a plus Bilingual abilities are a plus High level of integrity and attention to detail, especially when handling money
Pay:
$16.00 - $20.00 per hour
