Job Description

Description Position Summary The Service Writer / Warranty Clerk serves as the communication link between customers, technicians, and management to help ensure all service work is completed accurately, efficiently, and with a high level of customer satisfaction. This position supports the daily operations of the service department through scheduling, repair order management, warranty administration, customer communication, and administrative support. Key Responsibilities Customer & Service Coordination Communicate repair needs, timelines, and updates with customers. Schedule technicians for field and shop work based on workload and priority. Maintain and manage digital service schedules and appointments. Assist customers with billing questions and open service accounts as needed. Work Orders & Documentation Open, review, update, and close repair orders accurately and efficiently. Complete and maintain service paperwork for billing, warranty, and reporting purposes. Assist with warranty claim submissions and supporting documentation. Monitor technician time entries and ensure labor is properly documented and billed. Help maintain accurate records within service software systems. Department & Administrative Support Coordinate with the parts department regarding parts orders and repair needs. Prepare and code statements for accounting purposes. Assist with service department administrative functions and reporting. Support additional operational tasks as assigned by management. Requirements Previous customer service, administrative, or office experience. Strong communication and organizational skills. Dependable work history and professional references. Computer proficiency and comfort learning service software systems. Ability to multitask and manage competing priorities in a fast-paced environment. Strong attention to detail and accuracy.
Preferred:
Experience in agricultural, construction, automotive, or heavy equipment industries. Basic mechanical or agricultural knowledge. Previous warranty administration experience. Experience managing schedules or coordinating service work.
