The clients we work with are family-focused people who have spent decades building something worth protecting. They deserve a firm that picks up the phone, already knows their name, and genuinely cares whether they get the retirement they worked for. We are looking for a Client Service Associate to be the operational backbone of our firm. This is a multi-faceted role that blends front desk responsibilities, client-facing service work, and office management. It is one of the most important positions in the firm.
Location:

What We Offer Starting salary of $58,000, with a performance bonus tied to firm revenue A realistic path to $75,000 as you master the role, take on advanced operational ownership, and the firm grows 25 total paid days off (14 days of flexible
PTO + 11
standard paid holidays) Monday through Thursday 9 am to 5 pm, Friday 9 am to 3 pm Health, dental and vision insurance, health savings account, and 401(k) What You Will Do Client Service (60%) Handle client calls and emails with care and professionalism, routing complex matters to the advisor Open new accounts, prepare onboarding documents, and manage incoming account transfers (ACATs) Work directly with our custodian (Altruist) and insurance carriers to resolve discrepancies and keep accounts current Process cash management tasks including wire transfers, check deposits, and daily money movement requests Follow up on pending applications to keep things moving through the pipeline Maintain accurate, up-to-date client records in our CRM (Monday.com), which drives our day-to-day operations Schedule client appointments and prepare materials ahead of meetings Support clients with account access, rollover coordination, and transfer-related steps Operate in full alignment with internal compliance policies and SEC regulations at all times Obtain notary credentials after hire (we will support this process) Client Reception and Scheduling (30%) Welcome clients and set the tone for a professional, warm experience the moment they walk through the door Answer and route incoming calls Manage the advisor's calendar, scheduling, and appointment confirmations Screen inbound vendor calls to protect advisor time Office Management (10%) Keep the office stocked, cleaned, organized, and running without friction Support meeting logistics and in-office setup What We Need from You 2 to 3 years working at an RIA, broker-dealer, or investment firm (required) High school diploma required; bachelor's degree in business, finance, or a related field preferred Comfortable with financial terminology and products, and genuinely curious to keep learning You need to be comfortable with technology, with an ability to troubleshoot on the fly and confidently navigate new platforms without getting flustered.
