Job Description

Position Overview:
As a Psychiatric Front Desk Client Care Coordinator, you will play a crucial role in providing exceptional customer service and administrative support in a mental health clinic or psychiatric practice. Your primary responsibility will be to ensure smooth and efficient operations at the front desk while creating a warm and welcoming environment for patients and their families. This position requires excellent communication skills, strong organizational abilities, and a compassionate and empathetic approach to patient care.
Key Responsibilities:

Reception and Scheduling:
  • Greet patients and visitors in person or over the phone with a friendly and caring demeanor.
  • Schedule appointments, manage the clinic's appointment system, and maintain an organized schedule for psychiatrists and other mental health professionals.
  • Facilitate the intake process for new patients, ensuring they have all necessary paperwork and information.

Patient Relations:
  • Build and maintain positive relationships with patients, families, and caregivers, offering support and guidance as needed.
  • Handle patient inquiries, provide information about services, and address concerns or complaints in a sensitive and professional manner.

Administrative Duties:
  • Collect and update patient demographics, insurance information, and medical history accurately in the clinic's electronic health record (EHR) system.
  • Verify insurance coverage and benefits, and assist patients with understanding their mental health coverage.
  • Process and manage patient billing and payments, collaborating with the billing department as necessary.

Confidentiality and Compliance:
  • Adhere to strict patient confidentiality guidelines and ensure that all HIPAA regulations are strictly followed.
  • Maintain compliance with legal and ethical standards in mental health care, as well as clinic policies and procedures.

Crisis Management:
  • Recognize and respond appropriately to urgent or emergent situations, such as patients in crisis or expressing suicidal thoughts, by contacting appropriate mental health professionals or emergency services.
6. Coordination with
Clinical Staff:
  • Collaborate with psychiatrists, therapists, and other healthcare providers to coordinate patient care plans, including follow-up appointments and referrals to specialists or community resources.

Support Office Operations:
  • Manage office supplies and equipment, ensuring that the front desk area is organized and presentable.
  • Coordinate with other administrative staff to ensure efficient clinic operations.
8.
Data Entry and Reporting:
  • Keep detailed records of patient interactions, appointment statuses, and other relevant data, and generate reports as required.
Required Qualifications:
  • Proven experience in a front desk or customer service role, preferably in a healthcare setting.
  • Knowledge of medical terminology and familiarity with mental health conditions and treatments is advantageous.
  • Strong computer skills, including proficiency in using EHR systems and office software.
  • Excellent communication skills, both verbal and written, with the ability to communicate effectively with diverse patients and staff.
  • Empathy, compassion, and a patient-centered approach to care.
  • Strong organizational skills and attention to detail.
  • Ability to handle stressful situations and remain calm under pressure.
  • Ethical conduct and a commitment to maintaining patient confidentiality.
  • Flexibility in handling a variety of tasks and the ability to prioritize effectively.
