Job Description
Job Overview The Administrative Assistant / Client Service Specialist plays a critical role in delivering a personalized, relationship-driven client experience within a growing Ameriprise Financial independent practice. This position supports the day-to-day operations of a client-focused financial planning team while helping to create meaningful, long-term relationships with clients. The role allows the Financial Advisor to focus on planning, advice, and deepening client relationships by ensuring seamless administrative execution and exceptional service delivery. The Administrative Assistant ensures the office runs efficiently, maintains compliance with Ameriprise guidelines, and supports the belief that strong relationships, trust, and a responsive communication process set the practice apart. Key Responsibilities Administrative & Practice Support (Approximately 85-90%) Manage day-to-day office operations to ensure efficiency and organization Prepare correspondence, reports, and documents for advisor review and signature Schedule client appointments and coordinate calendars Prepare meeting materials, agendas, and required documentation Track new business submissions and follow up with home office as needed Maintain accurate and up-to-date client records and documentation Manage office supplies, vendor coordination, and operational needs Support marketing efforts including seminars, events, and client outreach programs Assist with ongoing projects, reporting, and process improvements Ensure compliance with Ameriprise policies and regulatory requirements Client Experience & Relationship Support (Approximately 10-15%) Serve as the first point of contact, delivering a warm, professional welcome to clients in person and on the phone Provide elevated hospitality-focused office experience Support delivery of the Ameriprise Client Experience, ensuring every interaction reflects care, professionalism, and personalization Schedule appointments, send reminders, and follow up on client requests Maintain consistent communication and documentation of client interactions Help track client milestones and assist with appreciation initiatives Introduce and support clients with Ameriprise digital tools and resources Assist in maintaining proactive engagement with clients between meetings Key Traits & Qualifications Able to maintain confidentiality, demonstrate integrity, and operate under limited/minimal direction. Excellent interpersonal skills to interact efficiently with clients. Proficient computer skills and comfort with office technology (previous CRM/Salesforce experience a positive) Professional, courteous phone presence, as well as SMS text skills Strong organizational skills and attention to detail Excellent written and verbal communication skills Effective time management, critical thinking and multitasking abilities Ability to work independently while supporting a team environment Positive attitude with a willingness to learn and grow Education & Experience High school diploma required; additional education, certifications or 1-3 years relevant administrative experience preferred Prior experience in an office, financial services, or administrative role is a plus but not requiredCompensation & Benefits Pay Range:
$20.00 - $25.00 per hour (based on experience and qualifications), quarterly bonus eligibility PTO eligibility after 90 day probationary period, 5 days initially with increasing schedule 12 paid holidays per year Potential future benefits discussion Looking to advance your career further through licensing?
