Job Description

Client Planning Specialist A rotational learning role designed to build foundational skills in client experience, client service, and operational support within a financial planning team. Role Overview This opportunity provides hands-on exposure to the day-to-day operations that power an exceptional client experience. The rotational team member will support front-office client interactions and back-office processing while developing an understanding of financial planning workflows, products, and compliance practices. The role also includes structured exposure to financial planning meetings with senior advisors and mentorship during the planning season. Key Responsibilities Client Experience Answer incoming phones professionally, route inquiries appropriately, and document client needs. Support scheduling for client meetings, reviewing appointments, and follow-up calls. Open new accounts and support onboarding, including collection of required documentation. Process money movement requests (contributions, distributions, transfers, and required follow-up). Support insurance service activities, including life insurance and annuities, within established procedures. Assist with health and Medicare-related administrative support and coordination, as applicable. Follow firm compliance requirements for documentation, processing, and client communications; escalate exceptions promptly. Assist with 401(k) retirement plan service needs and related paperwork. Coordinate "paperwork parties" to gather signatures, resolve missing items, and keep workflows moving. Sit in financial planning meetings with senior advisors to observe client conversations, planning recommendations, and meeting flow; capture action items and support follow-up as assigned. Participate in mentor-led learning opportunities during planning season, including review of planning deliverables, workflows, and best practices. Support tax season activities, including delivering tax documents to clients as directed and assisting the team with intake, organization, and processing of tax documentation. Learning Objectives Develop strong client communication skills across phone, email, and in-person interactions. Learn end-to-end service workflows from request intake to completion and documentation. Build familiarity with account types, retirement plan concepts, and common service transactions. Strengthen attention to detail, organization, and follow-through in a regulated environment. Gain exposure to practice operations, event support, and calendar-driven planning cycles. Observe and learn planning conversations by shadowing senior advisors, with feedback and mentoring during planning season. Qualifications Bachelor's degree (or near completion) in finance, business, economics, or related field. Required to obtain the Series 65 license within 60 days of hire. The first 60 days will consist of paid training and exam preparation. If the Series 65 license is not obtained within this period, continued employment and role alignment will be reevaluated by Client First. Strong client experience mindset with a professional, solutions-oriented approach. Excellent written and verbal communication skills; comfort handling phones and scheduling. High attention to detail and ability to manage multiple tasks and deadlines. Proficiency with common office tools (email, calendar, spreadsheets, and document management). Ability to handle confidential information with discretion.
Preferred:
Internship, part-time, or campus leadership experience demonstrating client service, operations, or administrative support. West Bend, WI Reporting to: Client Experience Team Lead Additional Notes Responsibilities may vary by rotation and business needs. The role may involve work subject to regulatory and firm policies, including recordkeeping and privacy requirements. Licensing requirements (if any) will be communicated by the hiring team. The goal of this role is to gain experience in all aspects of Client Planning. The role will lead to becoming a financial planner as licenses and experience are gained. This rotation will benefit the candidate to see all aspects of the Client First experience for a client.
Pay:
$50,000.00 - $70,000.00 per year
