Job Description

ABOUT THE ROLE
We are seeking a highly skilled and motivated individual to join our team. The service writer manager role has varied responsibilities revolving around managing customer interactions and sales; facilitating communication between customers and service technicians; ensuring that necessary repairs and maintenance are properly documented, estimated, and communicated in a thorough and timely fashion; and recommending services, products, or repairs based on the technician's diagnosis. In addition, the service writer manager is responsible for the supervision and training of the service writer and their duties.
RESPONSIBILITIES 1.
Performs varied technical, specialized, and/or difficult vehicle/equipment analysis requiring the frequent exercise of initiative, individual judgment, and application of thorough knowledge of shop rules and policies. 2. Evaluate when to repair versus replace equipment and make recommendations accordingly. 3. Initiates a work order by recording necessary information and identified repairs and maintenance and develops a repair estimate for the customer based upon the technician's diagnosis. 4. Manages the delivery expectations on the part of the customer and technicians alike. 5. Accurately maintains repair records and logs. 6. Comply with safety and environmental programs and practices, and perform any other duties as assigned by upper management. 7. Ensures the proposed maintenance or repair solution appropriately matches the requirement to address the customer's concerns. 8. Monitors service/repair action and, if required, informs the customer of work progress; addresses incoming inquiries regarding work in progress and appointments if requested. 9. Performs customer follow-up calls to ensure delivery and services expectations are met. 10. Assures that repair, inspection, and preventive maintenance work is scheduled and prioritizes maintenance jobs according to established standards. 11. Consults with the service manager or lead mechanic on the scheduling of preventive maintenance work assignments. 12. Coordinate with vendors and service providers for equipment procurement and maintenance needs. 13. Generates and processes work orders daily to ensure prompt billing is activated, including updating the system when a vehicle/equipment is worked on and noting the type of services and/or repairs performed. 14. Creates, inspects, and closes every finished service work repair order for proper completion. 15. Ensure compliance with regulatory requirements and internal policies related. 16. Develop repeat business by delivering high-quality service and repair work. 17. Initiates processing of invoices and purchase orders for supplies and equipment. 18. Assists management in maintaining and developing all necessary records, appropriate documentation, and reports as required. 19. Assists management by distributing and coordinating necessary service repair work with a priority list and timeline for completion to technicians. Create a detailed work order schedule for all technicians on a weekly basis, adding and assigning new work orders as they are received.
QUALIFICATIONS 1.
Proven experience in service writing (or a similar role) is required. 2. Must possess mechanical knowledge and skills. 3. Ability to demonstrate knowledge of Federal, State and Local regulations and laws as it pertains to vehicle and heavy equipment maintenance and repair and all associated records, documentation, and reporting. 4. Ability to demonstrate a clear understanding of vehicle maintenance shop practices and equipment operations. 5. Must be skilled in methods and techniques used in vehicle and heavy equipment maintenance and repair, including issuance of requests to rectify vehicle/equipment problems and evaluation of time and material cost estimates to repair and maintain vehicles/equipment. 6. Must be able to diagnose mechanical defects based on vehicle conditions, driver's complaints, visual observation, and/or test drive; inspect and evaluate mechanical and automotive body repair work and cost documents. 7. Must be able to identify major mechanical parts of vehicles/equipment. 8. Must have the ability to read and comprehend automotive-related materials and computer printouts. 9. Must be able to analyze information and place effective courses of action. 10. Must be able to initiate, review, and process invoices for repair work completed by technician staff; resolve related issues. 11. Must be able to use a keyboard with moderate speed and a high level of accuracy; operate a personal computer and specialized applications/systems; and develop computer-based spreadsheet applications to track, utilize, and analyze maintenance data and information. 12. Must communicate effectively, both orally and written, i.e., prepare and present reports and findings; communicate with customers, staff, and vendors; and clearly and verbally explain system and repair needs to both the customer and technician staff to obtain the customer's pertinent data/information. 13. Must accurately perform and check mathematical calculations, including the maintenance of established labor rates. 14. Must possess excellent analytical skills with the ability to interpret complex data sets. 15. Strong written and verbal communication skills with an emphasis on client and vendor relations is required. 16. Must have the ability to work both independently and collaboratively within a team environment and work well under pressure. 17. Strong time-management skills and attention to detail is required.
