Job Description

ROLE The Expeditor supports customer satisfaction by managing supplier deliveries, tracking orders, identifying delays, and communicating shipment updates to internal and external customers. This role requires a highly organized, customer-focused individual who is committed to continuous improvement using technology, automation, and AI-powered tools. The Expeditor also supports supplier non-conformance processes, customer service calls, and cross-functional communication to help achieve company quality and delivery goals.
KEY RESPONSIBILITIES
Monitor supplier delivery performance and evaluate open order report. Identify, track, and escalate late deliveries. Contact suppliers to improve delivery dates and shipment timelines. Research alternate sourcing solutions to support customer delivery expectations. Enter and maintain supplier delivery information accurately within Prophet 21 (P21) Communicate shipment updates, delays, tracking information, and Advanced Shipping Notices (ASN) to customers. Maintain accurate documentation and follow all procurement and expediting procedures. Utilize Microsoft Excel, Outlook, Teams, and AI-powered productivity tools to improve workflow efficiency and communication. Assist with supplier non-conformance reconciliation and documentation. Create and maintain process documentation, training materials, and training videos. Support continuous improvement initiatives and process optimization efforts. Share responsibility for incoming customer and supplier phone calls. Collaborate effectively with procurement team members and other departments. Support data accuracy and reporting requirements across procurement operations.

Ensure all direct shipments include ASN communication and tracking details. Proactively communicate delivery delays or changes to customers Maintain accurate and timely supplier non-conformance records. Demonstrate accountability, urgency, and attention to detail. Continuously identify opportunities to improve processes and efficiency Utilize technology and AI tools responsibly to enhance productivity and customer service. Adhere to all company quality policies, procedures, and workplace standards. Maintain a positive attitude and contribute to a collaborative work environment.
JOB QUALIFICATIONS
High school diploma or equivalent Strong proficiency in: Microsoft products with expert excel skills, experience with ERP systems (P21 experience preferred) and project management platforms. Excellent verbal and written communication skills Strong organizational and multitasking abilities Ability to analyze, prioritize, and manage multiple tasks efficiently. Dependable, self-motivated, and customer-service oriented Ability to work independently and collaboratively in a fast-paced environment.
PREFERRED QUALIFICATIONS
Experience in procurement, supply chain, expediting, customer service, or inside sales Familiarity with AI productivity tools such as Microsoft Copilot, ChatGPT, or workflow automation platforms Experience creating process documentation or training content. Knowledge of supplier management and coordination

PHYSICAL REQUIREMENTS
Required to sit at desk most of the workday. Vision that can be corrected to 20/20. Normal hearing abilities are required. Work is performed primarily on a computer with keyboard. Ability to perform work in a standard office environment.
WORK SCHEDULE
Work schedule can vary but will normally be scheduled sometime between company business hours of Monday
  • Friday 7:00am
  • 5:00 pm (maximum). Average work week will typically be 40
  • 45-hour work week.
