Job Description
Position Overview The Journals Coordinator serves as the primary liaison and coordinator for all scholarly journals published by the organization. This position is responsible for overseeing and coordinating all aspects of production, publication, dissemination, indexing, and distribution of the journals to ensure the timely delivery of high-quality publications that meet international academic and publishing standards. Key Responsibilities Journal Operations and Production Develop and implement goals, operational procedures, and workflows to ensure the efficient and timely publication of all journals. Manage the content and administration of Arabic and English journals' websites using editorial and content management systems. Coordinate all administrative and operational aspects related to the production and publication of journals. Manage multiple production schedules and publication deadlines, identifying and resolving issues to ensure on-time delivery. Coordinate with editors, editorial boards, authors, reviewers, publishers, and production vendors throughout the publication process. Ensure that all journals adhere to the highest academic, editorial, and publishing standards. Editorial and Technical Support Provide administrative, technical, and training support to editors, reviewers, authors, and other users of journal management systems and digital communication platforms. Manage the editorial management system -Open Journal Systems (OJS) - and related publishing technologies. Coordinate requests for print and digital review copies of books and facilitate communication between publishers, book review editors and assigned reviewers. Publishing, Distribution, and Marketing Maintain and update journal subscription databases and distribution lists. Coordinate journal distribution activities, including print and electronic dissemination. Format, upload, promote, and distribute journal content through electronic publishing platforms such as Kindle, Google Play Books, and other digital channels. Research, recommend, and introduce new platforms. Oversee the translation and publishing process of the journals into other languages and provide technical support and guidance. Coordinate journal promotion and representation at academic conferences, exhibitions, and professional events. Design and implement marketing materials and outreach initiatives targeting authors, reviewers, subscribers, and academic institutions. Indexing, Licensing, and Compliance Coordinate journal applications, renewals, and relationships with academic indexing and abstracting services, including ProQuest, EBSCO, ATLA, Scopus, and other relevant databases. Process copyright and permissions requests from authors, contributors, and external parties. Ensure copyright, permissions, and licensing procedures are documented, compliant, and consistently applied. Coordinate copyright registrations and post-publication permissions activities. Affiliate Journal Support Provide guidance and oversight for journals published by affiliated institutions. Conduct academic, technical, and operational assessments of affiliated journals and recommend improvements based on industry best practices. Support the adoption of publishing standards, editorial policies, and technological solutions that enhance journal quality and visibility. Sales and Other Duties Coordinate journal sales, invoicing, subscription services, customer records, and claims related to missing issues. Carry out other duties and special projects related to publishing, translation, scholarly communications, and journal operations as assigned by the supervisor. Qualifications Required Bachelor's degree in Communications, Journalism, Publishing, Library Science, Information Management, or a related field. Experience in scholarly publishing, academic journals, editorial management, or a related field. Fluency in both Arabic and English, with excellent written and verbal communication skills. Strong organizational, project management, and multitasking abilities. Experience managing digital content, websites, and online publishing platforms. Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint. Preferred Experience with Open Journal Systems (OJS) or other journal and content management systems. Knowledge of academic publishing standards, peer-review workflows, indexing requirements, and scholarly communication practices. Experience with social media management, digital marketing, and audience engagement. Working knowledge of Adobe Creative Suite, including InDesign, Photoshop, Illustrator, and Acrobat. Familiarity with journal indexing databases, metadata standards, DOI registration, and digital publishing technologies.
