Job Description

POSITION SUMMARY
The Product Development Administrator supports the Senior CAD Jewelry Designer by maintaining project tracking systems, producing accurate meeting minutes and action items, and coordinating administrative and organizational tasks across the new product design workflow. This role ensures projects move smoothly from concept through CAD and into production.
KEY RESPONSIBILITIES
Manage and maintain the Design project board, ensuring all new design initiatives, revisions, and redevelopment projects are accurately tracked with defined status, priority, ownership, timelines, and deliverables. Coordinate and facilitate weekly Design meeting agendas in collaboration with the Senior CAD Designer. Maintain comprehensive project documentation, including version control for Design Meeting cut sheets, prepare product specs/costs/retails/projections for presentation and curate relevant historical Maui Divers designs for reference in meetings. Document, distribute, and monitor Design meeting minutes and action items, ensuring timely progress and accountability across assigned tasks. Own and drive project timelines and key milestones, proactively identifying, escalating, and resolving risks or delays in collaboration with the Senior CAD Designer; serve as the primary liaison across Design, Curation, Marketing, and Manufacturing to ensure alignment, accountability, and seamless communication throughout the product development lifecycle. Prepare and deliver regular status reports (weekly and monthly) highlighting active projects, progress updates, and potential bottlenecks. Provide administrative support to the Design team, including processing purchase requests for prototype materials/supplies, managing product development item setup (SKU/model number creation), and supporting additional operational needs as required.
QUALIFICATIONS
Experience in project coordination, production support, or administrative functions, preferably within jewelry, manufacturing, product design, or a creative studio environment. Exceptional written communication and documentation skills, with the ability to distil complex discussions into clear, actionable items with defined ownership. Strong organizational skills with a demonstrated ability to manage multiple concurrent projects, prioritize effectively, and adapt to evolving timelines. Highly detail-oriented, proactive, and able to follow processes while suggesting practical improvements.

From $18.00 per hour
