Job Description

Eralyn Interiors is a fast-paced, growing luxury interior design firm seeking a highly organized, proactive Administrative Coordinator to support daily operations, project flow, and install execution. This role is essential to keeping the business running smoothly behind the scenes. You will be responsible for maintaining organization across projects, tracking key metrics, managing samples, and supporting install preparation and execution. This is an ideal role for someone who thrives in a structured yet dynamic environment, enjoys both administrative and hands-on work, and takes pride in creating order and efficiency. About the Company Eralyn Interiors is a full-service luxury interior design firm specializing in high-end residential renovations, new builds, and furnishings. We manage every detail from concept through installation, delivering a seamless and elevated client experience. The environment is fast-paced, collaborative, and high-expectation, with a strong focus on execution and attention to detail. Key Responsibilities Administrative & Project Support
  • Maintain organization across all projects, files, and systems
  • Manage and update DesignFiles (or similar platforms)
  • Track project timelines, deliverables, and key deadlines
  • Assist with proposal preparation and internal documentation
  • Support invoicing coordination and basic financial tracking KPI & Marketing Support
  • Track weekly and monthly KPIs across the business
  • Assist in maintaining simple dashboards for revenue and pipeline
  • Track social media performance (engagement, growth, consistency)
  • Assist in monitoring paid ad performance
  • Help ensure marketing efforts are organized and executed on time Sample Management (Core Responsibility)
  • Order, track, and organize all design samples (tile, fabric, finishes, etc.)
  • Maintain a clean, labeled, and organized sample library
  • Track sample status across projects to support timely selections
  • Return, replace, and reorder samples as needed
  • Ensure samples are prepared for presentations and installs Procurement & Vendor Coordination
  • Assist with vendor communication and follow-ups
  • Track orders, deliveries, and procurement timelines
  • Coordinate with receiving warehouses and vendors
  • Help ensure all items are accounted for ahead of installs Install Preparation & Execution
  • Prepare materials, accessories, and documentation for installs
  • Create install checklists and support install readiness
  • Assist onsite during installations
  • Coordinate with team members, vendors, and delivery teams
  • Support final styling and setup Studio & Business Support
  • Maintain organization and readiness of the design studio
  • Coordinate with vendors (cleaning crews, maintenance, etc.)
  • Assist with inbox organization, scheduling, and follow-ups Qualifications
  • Highly organized with strong attention to detail
  • Comfortable tracking information, tasks, and basic metrics
  • Strong communication skills
  • Proactive and able to anticipate needs
  • Able to balance desk work with onsite install days
  • Tech-savvy and quick to learn systems
  • Prior administrative or design-related experience preferred Traits We Value

Pay:
$25.00 - $34.00 per hour
