About the Role Report directly to the CEO. Own all production operations end to end, from Sales to Production handoff, through closeout, across a multi-PM, multi-crew residential contracting business. You will own production systems, scheduling discipline, and SOPs that streamline execution, protect margins, and develop the next generation of leaders on the team. This is a hands on operational leadership role, not a project management role. You will lead people, enhance processes, own the numbers, and drive results across production, field quality, and logistics. This role is structured as the operational foundation for a future Chief Operating Officer. Direct Reports Project Managers (Level 1-3) Site Superintendent (QC & Training) Logistics / Material Runner Manager Key Responsibilities Production Planning & Scheduling Own and maintain the master production schedule and backlog; assign projects to
PM L1-L3
based on workload, skill set, and capacity Drive the shift to full horizon scheduling, all committed jobs planned end-to-end with confirmed crew, materials, permits, and inspection windows before mobilization Lead weekly WIP and production meetings; publish two week look aheads and revenue forecasts Identify and resolve scheduling conflicts (crew, materials, permits) before they hit the field Establish pre construction planning gates: no job moves to field without confirmed scope, budget, start date, materials, and client expectations locked Team Leadership & Development Set clear performance expectations for all direct reports: conduct structured reviews and build individual development plans Coach Project Managers on schedule management, job costing, change order execution, and client communication Partner with the Site Superintendent to develop crews, reinforce installation standards, and maintain a consistent safety culture Hire, onboard, and integrate new team members into company systems and workflows Support PMs on client escalations and high visibility projects while keeping the PM as the primary client contact SOP Development & Systems Adoption Create, document, and drive team wide adoption of SOPs across kickoff, preconstruction, field execution, inspections, change management, closeout, and post job review Standardize and enforce use of company tools (Zuper, Google Drive, and others) across all PMs, superintendents, and logistics leads Audit system compliance; close gaps through coaching and structured follow up, not workarounds Lead continuous improvement cycles: surface recurring problems, root-cause them, close them with process changes Maintain a living SOP library accessible and executable by the full team Job Costing, Margins & Financial Oversight Review job cost reports weekly with PMs; identify variance early and execute margin recovery plans Improve overhead and job costs through better planning, reduced rework, first pass inspections, and disciplined procurement Track and report production
KPIs:
schedule adherence, first pass inspection rates, labor and material variance, rework cost, RFI and change-order cycle time, client satisfaction Coordinate with the Controller on job costing accuracy, WIP reporting, cost to complete projections, and overhead budgets for the production department Hold PMs accountable to budget, scope definition, and disciplined change management Procurement & Logistics Partner with the Logistics Manager to ensure materials are ordered, staged, and delivered to the right job at the right time, eliminating day of scrambles Set and enforce procurement lead time standards, vendor performance expectations, and escalation paths for supply chain disruptions Oversee vendor relationships: pricing, lead times, COIs, and contract standards Integrate logistics milestones into the master schedule, procurement tied to production start dates and inspection windows Own the fleet program: vehicle assignments, maintenance scheduling, mileage reporting, safety checks, and fuel card controls Sales-Production Coordination Participate in the weekly Sales to Production handoff: confirm scope, budget, start date, and client expectations are set before every project enters production Collaborate with the Sales Manager on capacity planning, realistic start date commitments, and forecast alignment so production is never over committed Coordinate with Sales on change order and upsell best practices that protect client relationships and project margins Field Quality & Safety Partner with the Site Superintendent on field QC audits, crew training, manufacturer installation standards, and inspection readiness Review QC findings; ensure corrective actions are closed promptly and systemic issues are resolved at the process level Drive first pass inspection performance as a core operational KPI Maintain safety basics across all active sites with PM and Superintendent support Success Looks Like Jobs mobilize on schedule, every time, because planning gates were enforced before the first crew hit the field Material delivery misses drop to near zero within the first 90 days through disciplined procurement integration into the master schedule Gross margin improves quarter over quarter through reduced rework, tighter change order discipline, and better labor and material planning First pass inspection rates climb consistently as QC systems and pre-inspection protocols become standard practice Your direct reports are making better decisions independently and developing the people below them to do the same The CEO is spending less time in production and more time on growth because operations run without requiring escalation What We're Looking For Experience & Scale 10+ years of progressive experience in residential construction or exterior remodeling, with at least 4-5 years in a senior operations or production director role Demonstrated experience running operations for a business at $50M+ in annual revenue, managing multiple PMs, crews, and concurrent projects at scale Proven track record building and scaling production teams: not just managing projects, but developing the managers and field leaders who run them Deep command of multi-trade, multi phase residential project delivery including exterior remodeling, structural scopes, and interior trades Operations & Planning Mastery of construction scheduling: critical path planning, full horizon scheduling, look aheads, backlog management, and schedule recovery Proven ability to create, document, and drive adoption of SOPs in a field heavy construction business, you have done this, not just managed to existing playbooks Experience standardizing field and project management technology (Zuper, Buildertrend, Procore, or similar) across a dispersed team Strong job costing and backlog forecasting skills; ability to read WIP reports, manage overhead budgets, and hold teams to margin targets Leadership & Communication A proven developer of people, you build leaders, not dependents; your teams grow and perform without you in the room You bring solutions, not problems; you are direct, clear, and accountable in every direction Calm under pressure with disciplined follow through, you build systems to prevent fires, not just fight them Excellent cross functional communicator across field crews, PMs, sales, vendors, and ownership Confident presenting operational data and recovery plans directly to the CEO and leadership team Valid driver's license and clean driving record Preferred Qualifications OSHA 30; EPA RRP for pre-1978 homes Experience with fleet oversight and vendor contract management Lean or continuous improvement background; familiarity with schedule recovery playbooks and root cause analysis methods Local permitting and inspection familiarity in the Portland and Vancouver metro areas Manufacturer program familiarity: CertainTeed, James Hardie, TrexPro, InstallationMasters, or leading deck and roofing systems Experience managing occupied remodel operations with dust control, protection, and phased sequencing protocols What We Offer Base salary of $150,000 - $190,000 with target incentives tied to production KPIs and gross margin performance Direct reporting line to the CEO with full authority over production operations A team of direct reports: Project Managers, Site Superintendent, and Logistics Manager Existing tools and templates to build from: master schedule frameworks, QC checklists, look-ahead boards, and closeout packets Medical and standard benefits eligibility Paid training and manufacturer certifications for you and your team A defined path toward Chief Operating Officer as the company scales, earned through performance and leadership, not tenure Schedule Full time, Monday to Friday.
