Production
POSITION SUMMARY
Provide clerical support and assistance with compiling production documents and tracking completed work.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Assist with the compiling of Production documents while keeping within strictquality and completion deadlines including inputting, editing, and copying.
  • Assists with portions of various projects, including mailing projects, census and extensions, while keeping within company and government guidelines.
  • Compile/complete contribution letters and earned income letters.
  • Process mail and determine the appropriate shipping method.
  • Tracks all completed work in WIP, Time tracker and APC Gold programs.
  • Scans and maintains statements, miscellaneous client documents, and archived history into correct client folders using predetermined naming conventions and files client files as necessary.
  • Runs WIP reports necessary for completing and tracking daily work.
  • Cover receptionist breaks and save faxes, Dropbox, signed Form 5500/EFAST and census received during this time.
  • Perform Copy room tasks including checking copy cart hourly, stocking and copying select documents.
Maintain satisfactory attendance; as well as able and Willing to Work Additional Time as needed during Department Peak Periods and Projects (as outlined on the attached Addendum).
AUXILLARY DUTIES AND REPONSIBILITES
Participate in group or individual discussions regarding department process or policy improvements. Deliver and pick up mail from US Post Office, sort, open and deliver interoffice & bank deposit.
  • Assist with Breakroom stocking and clean up, when necessary.
Other duties may be assigned.
KNOWLEDGE - SKILLS - ABILITIES
Ability to concentrate; detail-oriented and highly organized. Ability to work within strict quality and completion deadlines. Ability to understand and follow detailed instructions. Proficiency in Microsoft Word, Excel, Outlook, and Adobe Acrobat. Ability to read, speak and write in English.
MINIMUM QUALIFICATIONS
  • High School Diploma or equivalent.
  • 2 years general clerical experience - to include extensive multi-tasking duties.
  • Previous experience in legal, financial, or insurance office is highly desired.
  • Must be able to type at least 35 WPM.
  • 2 years General computer experience in an office environment.
Valid CA Driver's license, proof of insurance and reliable vehicle; upon hire, registration in the DMV Pull Program.
PHYSICAL / ENVIRONMENTAL CHARACTERISTICS
Work is performed in an office environment and requires:
  • Sitting for prolonged periods of time using a computer keyboard, mouse, and screen.
  • Standing (sometimes for prolonged periods) and walking may require twisting, reaching, bending, crouching and kneeling.
  • Grasping, pushing, pulling, dragging and lifting boxes of files and other office items weighing 30 pounds or less.
  • Mobility, vision, hearing and dexterity levels appropriate to the duties to be performed.
