Job Description

This is a full-time Civil Service position at the Nashville Public Library. This position coordinates all internal and external bookings and events in the Conference Center. Oversees event logistics, vendor management, and meeting room coordination at the Main Library to ensure high-quality, inclusive, and impactful programming. Responsible for planning, developing, implementing, and evaluating programs and events at the Main Library that engage diverse audiences and meet community needs. Works closely with Main Library staff to coordinate building-wide events and programs. Completes other duties as assigned. Event Coordination & Logistics Manage the NPL Conference Center and coordinate internal and external bookings to ensure smooth scheduling and high-quality experiences for all users. Oversee event logistics, including room set-up and break-down, booking speakers and performers, managing budgets, processing rental fee payments, coordinating with vendors, and ensuring effective marketing and promotion of large Main Library events. Provide tours of the Conference Center to prospective users. Coordinate and maintain a master calendar of Main Library programs and events. Support public and staff use of Main Library venues and ensure meeting room spaces at the Main Library are welcoming and vibrant spaces for all audiences and user groups. Negotiate agreements with authors, speakers, performers, and partners to ensure the successful execution of Main Library events. Programming, Planning & Development Plan, develop, implement, and evaluate creative, relevant, and inclusive library events such as performing arts programs, workshops, lectures, festivals, adult reading programs, and author events. Collaborate with library staff to cultivate community relationships. Identify new program and event opportunities that align with community needs and provide logistical support to Main Library units in the execution of large programs and events. Maintain a database of Main Library partners, vendors, and performers. Administrative Duties Supervise Conference Center staff. Schedule work hours to ensure that all public areas are covered. Evaluate employees, counsels with and disciplines employees as needed, and approves leave requests. Establish, implement, and modify policies and procedures within established guidelines. Create and document processes, resources, and tools for staff to support Main-wide initiatives. Prepare and administer a program budget; provide data for budget planning. Administer grant money received and assist with writing grant proposals. Keep accurate records, track program and usage statistics, and write monthly reports. Attend and/or chair meetings as needed. Interact extensively in person, over the telephone, and electronically in general correspondence with Library staff and management, outside agencies, user groups, performers, vendors and the public. Respond to public and staff inquiries and complaints in a courteous and timely manner. Master's Degree from an accredited college or university and two ( 2) years of supervisory and/or administrative experience. OR Bachelor's Degree from an accredited college or university and four (4 ) years of supervisory and/or administrative experience.
