Position Summary Four Legs Good NY/NJ operates the
RG CARES
Animal Shelter in Pomona, NY under contract with Rockland Green. Our mission is to provide shelter, compassionate care, and placement for stray, abandoned, and surrendered animals while promoting responsible pet guardianship, expanding the human-animal bond, and supporting the community through education and outreach. The Director of Business Administration is a key leadership position responsible for the financial health, administrative operations, fundraising, and external relations of the organization. Working in close partnership with the Director of Shelter Operations, this role ensures the organization operates efficiently, sustainably, and in full compliance with all contractual, regulatory, and nonprofit requirements. The Director of Business Administration oversees all financial management, office operations, volunteer coordination, board reporting, and development activities, while serving as a primary liaison to the Board of Directors, funders, and community partners. This position is equal in authority and level to the Director of Shelter Operations; together they form the senior leadership team reporting directly to the seven-member Board of Directors. Key Responsibilities Financial Management & Compliance Lead all aspects of financial operations, including preparation of monthly financial statements, cash flow management, accounts payable and receivable, payroll oversight, and budget development. Work directly with the bookkeeper to maintain accurate financial records, ensure timely Rockland Green contract billing and reporting, and maintain compliance with all federal, state, and local regulations. Develop and manage the annual operating budget in collaboration with the Director of Shelter Operations and present it to the Board for approval. Oversee grant financial tracking, donor fund stewardship, and the preparation of audited financial statements and IRS Form 990. Office & Administrative Operations Recruit, hire, and manage staff in coordination with the Director of Shelter Operations. Supervise the Office Manager, Office Assistant, and all day-to-day administrative functions, including office supplies and facility administrative needs. Maintain and update the employee handbook, operational policies, and administrative procedures. Ensure efficient office systems, accurate recordkeeping, and compliance with HR and employment regulations for administrative staff. Conduct employee conflict resolution as necessary and execute periodic staff performance evaluations. Fundraising & Development Lead fundraising strategy, including donor cultivation, grant research and writing, individual appeals, and corporate partnerships. Build and maintain relationships with funders, foundations, and donors to support the organization's mission and long-term growth. Plan and execute fundraising events and campaigns in coordination with the Board and the Director of Shelter Operations. Board Liaison & Strategic Support Prepare comprehensive reports for monthly Board meetings, including financial reports, program metrics, and organizational updates. Collaborate with the Board on strategic planning, new program development, and long-term sustainability initiatives. Serve as a key point of contact between the Board and staff on administrative and financial matters. Community Outreach, Marketing & Volunteer Program Oversee marketing, public relations, social media, website content, and periodic newsletters. Direct the Volunteer Coordinator and expand the volunteer program to support organizational needs. Represent the organization within the community and build partnerships with local businesses, veterinarians, and animal welfare organizations. Manage external communications and serve as a spokesperson on non-clinical matters. Collaboration & Leadership Partner closely with the Director of Shelter Operations on shared priorities such as annual budgeting, emergency planning, and fostering a positive organizational culture. Promote a mission-driven work environment that attracts and retains high-quality staff and volunteers. Support conflict resolution throughout the organization and perform other duties as assigned by the Board in support of the mission of Four Legs Good and theRG CARES
Animal Shelter. Qualifications & Skills Bachelor's degree in nonprofit management, business administration, accounting, or a related field, or equivalent professional experience required. Candidates should have a minimum of three to five years of senior-level experience in nonprofit financial management, administration, or operations, preferably within animal welfare or another mission-driven organization. The ideal candidate will demonstrate success in fundraising, grant writing, and donor relations, along with strong financial acumen in budgeting, financial reporting, and nonprofit compliance. Excellent verbal and written communication skills are essential, including the ability to represent the organization publicly and professionally. Applicants should possess proven leadership and supervisory experience with the ability to motivate, mentor, and develop teams. A strong passion for animal welfare and commitment to the mission of Four Legs Good is required. Proficiency in Microsoft Office applications, email systems, internet research, and social media platforms is expected, while experience with nonprofit databases is considered a plus. Candidates must be able to work flexible hours, including occasional evenings and weekends for events or Board meetings. One weekend day per week is mandatory. Experience working with government agencies is also required. Compensation & Benefits Salary is competitive and commensurate with experience and qualifications. Benefits include a health insurance stipend and paid time off.
