Job Overview We are a premier, highly successful plastic surgery practice in Westport, CT, seeking a sophisticated and analytical Director of Operations to join our established team. This is a pivotal leadership role designed for a professional who excels at maintaining excellence and optimizing high-performing environments. The ideal candidate will possess an operational and analytical mindset, capable of auditing workflows and refining processes to ensure strict adherence to practice policies. Rather than reinventing our successful model, you will focus on high-level oversight, project management, and the seamless execution of our daily business functions. We are seeking a thoughtful leader with a strong business background—ideally with formal business education—who can provide the steady-handed leadership needed to supervise a diverse team and maintain our reputation for elite surgical and non-surgical care. Responsibilities Lead the day-to-day operations of the business, including but not limited to maintaining a positive and productive work environment; ensuring smooth processes and a high-end patient experience; and continuously seeking ways to improve efficiency, patient satisfaction, and overall practice performance. Responsibilities include direct management of office operations, supervising staff (including Patient Care Coordinators, Administrative Assistants, and Clinical Providers), coordinating schedules, and ensuring maximal productivity. You will develop a critical knowledge base of surgical and non-surgical procedures, educate patients on pre- and post-operative instructions, master the consultation discovery process, and fulfill quoting and booking outcomes. You will oversee Nextech (NT) functions, including scheduling, posting charges and payments, tracking conversion rates, and utilizing the ladder system to identify and follow up with hot, warm, and cold leads. Additionally, you will coordinate surgical folders, liaise with IT and marketing vendors, manage office inventory with a focus on cost containment, and encourage satisfied patients to post online reviews to RealSelf and Google. You will also maintain patient confidentiality by following the HIPAA Compliance Plan and releasing Protected Health Information (PHI) appropriately. Qualifications Demonstrated experience leading healthcare teams. Proven experience working in a fast-paced, customer service environment. Clear history of project management and business execution. Comfort implementing established practice policies and processes. Ability to interpret financial reports, audit data, and utilize practice analytics. Team-first mentality and positive attitude. Strong communication skills in a wide range of formats. Demonstrated ability for self-motivation and initiative. Ability to prioritize work streams and problem solve. Strong history of personal accountability and professional integrity. Track record of employment stability and energy/enthusiasm. Professional appearance and demeanor. Experience with MS Office, Excel, email platforms, and Nextech (NT) Software. Education and Experience Six or more years of business operations and management experience in a healthcare setting. Plastic Surgery, Aesthetics, or other surgical office experience preferred. Bachelor's degree required. MBA preferred.
