Summary:
Coordinates substitute assignments for all certified and paraeducator personnel and provides administrative assistance to the Human Resources Office and Main Office at North Campus A.
Essential Duties and Responsibilities:
(other duties may be assigned) Coordinates substitute assignments for all certified teachers and those paraeducators requiring a substitute teacher on a daily basis. Manages Red Rover substitute management system system and daily absence reports. Computes all payroll information for substitute teachers Assists in the processing and maintenance of confidential personnel files for each substitute teacher. Interviews and recommends new substitute teachers for hire. Compiles and maintains substitute teacher handbook. Conducts annual new substitute teacher presentation. Maintains teaching certificates for substitute teachers and paraeducators who are certified through the State Teacher Certification Board. Prepares reports for the Teachers Retirement System. Manages substitute plans and provides essential information for substitutes to fulfill daily duties. Problem solves and communicates needs for substitute and paraeducator coverage. Proactively fills needs based on planned future absences and contacts substitutes to fill unmet needs. Maintains database of paraeducator schedules and student needs for paraeducator support. Coordinates paraeducator assignments for extracurricular activities and events. Communicates status updates with appropriate Main Office and Special Education staff at the close of each work day. Assists with procedures related to hiring substitute teachers. Supports onboarding and training of new substitutes and paraeducators. Assists with logistics related to professional development and training for substitute teachers and paraeducators. Coordinates submission of timesheets with Business and Human Resource offices. Assists with organization of paraeducator evaluation process. Maintains accurate records and assists in production of reports as needed. Maintains confidentiality and professionalism. Takes initiative to develop systems that support the needs of the organization. Answers incoming telephone calls, directs calls to the appropriate staff member, and assists with general front office operations by providing information, greeting visitors, responding to routine inquiries, and supporting the day-to-day responsibilities of the Main Office staff. Experience:
Graduation from high school supplemented by college level courses. One-year related office experience helpful. E.
Language Skills:
Ability to read, interpret, and explain personnel documents policies and procedures; ability to write routine reports and correspondence; and ability to speak effectively before administrators, staff, and general public. F.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to compute hourly, daily, and contractual rates. G.
Reasoning Ability :
Ability to interpret and apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to solve problems involving several concrete variables in standardized situations. H.
Other Skills and Abilities:
Personal computer and spreadsheet experience. Ability to work independently and with minimal supervision. Familiarity with Microsoft Office suite and Google Suite. Experience with substitute management systems preferred. I.
