Job Description
Overview Property Insight is seeking a highly self directed Documentation Specialist to support title plant conversion initiatives by owning the creation, organization, and maintenance of all project documentation from initiation through closeout. This role ensures documentation is accurate, complete, traceable, and aligned with agreed upon project outcomes throughout the conversion lifecycle. The Documentation Specialist serves as the central steward of project knowledge, capturing key decisions, scope changes, assumptions, risks, and dependencies, while documenting current state and future state processes impacted by conversion activities. This position partners closely with Project Managers, Analysts, and functional stakeholders to ensure documentation reflects operational reality and supports long term reference, auditability, and knowledge transfer. Duties
- Own the end to end creation, organization, and maintenance of documentation across title plant conversion projects.
- Capture and log key project elements, including decisions, scope changes, assumptions, risks, dependencies, and approvals to maintain a clear audit trail.
- Document current state and future state processes, workflows, and operational impacts resulting from conversion efforts.
- Partners with Project Managers, Analysts, and functional stakeholders to gather inputs and validate documentation accuracy and completeness.
- Ensure documentation reflects approved plant models, agreed upon requirements, and finalized project outcomes.
- Maintain version control and ensure timely updates as project scope, timelines, or requirements change.
- Organize and manage a centralized documentation library, ensuring materials are easy to locate, reference, and reuse.
- Support project closeout activities by ensuring all required documentation is finalized, archived, and properly indexed.
- Promote documentation standards, consistency, and best practices across conversion initiatives. Education Bachelor's Degree or equivalent experience. Experience
- Experience supporting title plant operations, expansions and/or conversion projects.
- Prior experience working with cross functional teams, including project management, analytics, operations, or technology.
- Knowledge of documentation standards, version control, or records management practices.
- Experience supporting audit, compliance, or regulatory documentation needs.
- Experience in documentation, project coordination, business analysis, or operational support roles.
- Strong ability to capture complex information clearly, accurately, and concisely.
- Experience documenting processes, workflows, and operational changes.
- Exceptional attention to detail and commitment to accuracy and completeness.
- Strong written and verbal communication skills.
- Ability to manage multiple documentation streams and priorities simultaneously.
- Proficiency with standard documentation and collaboration tools (e.g., Word, SharePoint, or similar platforms).
- Proven ability to self-manage workload, maintain accountability, and deliver accurate results in a fast paced environment.
