INTERNAL POSTING
This position is posted in compliance with Alabama Code §16-22-15. It is the intent to place a current employee in this position. Provide clerical support to the Adult Education department and be responsible for general office duties including data entry, filing and managing records, receiving callers and visitors and performing other related work as assigned. This position is not eligible for non-probationary status.
Salary:
Appropriate placement on ACCS Salary Schedule (Download PDF reader) H30, Grade 16: $21,664
  • $28,304 (Salary placement within this range is determined by your documented years of full-time related work experience)
Work Hours:
30 hours/week between the hours of 7:45 a.m.
  • 5:15 p.m. Monday
  • Thursday and 7:45 a.m.
  • 11:45 a.

Essential Duties and Responsibilities Receive, input and process paperwork ensuring items are submitted in a timely manner. Maintain calendars and schedules for individuals, groups and/or meeting space. Data entry with various software platforms. Operate Excel or other database software to track, sort, format and analyze data for a variety of purposes including reporting and data analysis. Communicate with customers (students, faculty and staff, the public, tenants, other postsecondary personnel) in person, via email and/or phone to disseminate and explain information and resolve issues. Discern when confidentiality in work needs to be maintained and maintain that confidentiality. Proof and edit correspondence and documents. Assist with processing GED® and GED Ready ® vouchers. Type and transcribe letters, memos and other correspondence or written documentation. Greet in-person visitors and respond to their needs appropriately. Proof and edit presentations in PowerPoint, Canva or other presentation software. Implement and maintain filing systems; keeper of resource materials and inventory. Assist/coordinate special events. Perform all duties with professionalism. Take meeting minutes when needed. Answer a multi-line phone system and direct calls appropriately. Request/arrange IT support. Assist with supply orders
  • unpacking and disbursement.
Submit maintenance work orders or request/arrange janitorial support. Create duplication of materials for others. Screen and route incoming mail including email. Maintain office area, including equipment, ensuring it is neat and professional in appearance at all times, including the copy/workroom. Perform other related duties as assigned. Qualifications A minimum of a high school diploma or equivalent and ten (10) semester hours (15 quarter hours) of postsecondary education in clerical or related field from an accredited institution is required OR high school diploma or equivalent and two (2) years clerical work experience is required . Ability to utilize Word or other word processing tools to prepare and communicate information is required . Ability to utilize Excel or other database software to sort and manage lists is r equired . Preference will be given to candidates who can demonstrate through their experience and accomplishments: Knowledge of Banner or AAESAP (Alabama Adult Education System for Accountability and Performance). Knowledge of Adult Education accountability system for federal and state policies and procedures. Knowledge of rules of grammar. Knowledge of generally accepted office practices and procedures, including records management. Knowledge of FERPA. Skill in operating a mouse to control a computer. Skill in operating a computer. Skill in utilizing a multi-line phone system. Skill in operating a fax machine, copier, scanner, label maker. Ability to follow instructions and adhere to prescribed routines. Ability to make decisions based on correspondence, data or other information. Ability to utilize and search the internet for information. Ability to multi-task and prioritize issues. Ability to maintain confidential information. Ability to work and communicate with a variety of people from diverse backgrounds. Ability to utilize email systems to communicate information. Ability to work with minimal supervision/work independently. Ability to operate in a professional manner at all times. Ability to greet individuals of any background with friendliness, tact and courtesy. Ability to operate in high pressure and often noisy situation and respond to issues in a calm manner.
