Position Summary:
The Instructional Design & Process Improvement Specialist is responsible for designing, standardizing, and continuously optimizing organizational training and operational processes. This role operates at the intersection of clinical excellence, operational efficiency, and growth strategy, ensuring the development of scalable, high-impact training systems while identifying and implementing process improvements across the organization.
Key Duties and Responsibilities:
(This is not an exhaustive list of duties and other tasks may be added, allowing for flexibility as job requirements evolve over time.) Instructional Design & Training Development Design and deploy structured training programs for clinical and non-clinical teams Create SOPs, playbooks, and competency-based training modules Develop onboarding systems that reduce ramp time and improve retention Build assessments, quizzes, and certification frameworks to ensure mastery Standardize "best practice" workflows into scalable training content Process Improvement & Operational Excellence Audit current workflows across departments (clinical, front desk, operations, etc.) Identify inefficiencies, bottlenecks, and variability across locations Redesign processes to improve speed, accuracy, and patient experience Implement systems that drive consistency across a multi-location organization Partner with leadership to execute high-impact operational initiatives Systems & Documentation Build and maintain a centralized knowledge base (training library, SOP repository) Ensure documentation is clear, current, and actionable Integrate training into existing systems (EHR, scheduling, POS, etc.) Core Objectives Build scalable, repeatable training systems that ensure consistent delivery of care across all locations Eliminate operational inefficiencies and reduce variability in workflows Translate high-level strategy into clear, executable processes and training materials Elevate team performance through structured learning framework
Supervisory Responsibilities:
None Internal and External Relationships:
Collaborative relationship with clinical and central communications teams.
Requirements:
Ideal Candidate Profile Proven experience in instructional design, training development, or organizational development Ability to design and create learning materials such as videos, visual guides, or other assets. Strong background in process improvement, operations, or systems thinking Ability to break down complex workflows into simple, scalable frameworks Highly detail-oriented with strong execution capabilities Comfortable operating in a fast-paced, high-growth environment Healthcare experience is a plus, but not required
Qualifications:
2-4 years of experience in training, learning and development, employee onboarding, or workforce development. Experience creating videos, infographics, presentations, and courses for visual learning. Expert user of Rise/360/Articulate programs. Demonstrated experience developing and delivering training programs for diverse audiences in a professional setting required; clinic or health care setting is strongly preferred. Experience collaborating with subject matter experts to translate operational processes into effective training content. Strong facilitation and presentation skills, with the ability to engage learnings both in-person and through virtual training environments (LMS). Familiarity with Learning Management Systems (LMS) and the ability to administer or support online training programs. Strong preference for Paylocity LMS experience. Excellent interpersonal and communication skills with the ability to build collaborative relationships across departments. Ability to quickly learn operational workflows and translate role responsibilities into practical training programs.
