Education Support Assist the Director of Educational Enrichment with various projects not related to course implementation Pre-Event Support Conduct quality review of course modules in the learning management system (LMS) Conduct quality review of course announcements in the LMS as the confirmation to be sent out prior to all attendees with link and materials Hosting/Moderating Virtual Courses Moderate virtual courses on a daily/weekly basis acting as HQ liaison with attendees and instructors; answering questions and launching poll questions Compare the registration list to LMS attendance list to ensure all registrants were transferred into course upon purchase and add/remove attendees from LMS when applicable Confirm the correct Zoom link is in the LMS module and announcement Confirm with instructors on the day of the webinar and send them the Zoom panelist link Update the notes section in Asana with any comments regarding attendance, poll questions, and/or recording glitches Management of Conference Presenters/Database Assist with the creation of the conference agenda Ensure bios and photos are uploaded into database/platform for each presenter Ensure all marketing details are entered and accurate in database/platform for each conference session Publish all conference sessions to connect with website/conference platform Creation and Implementation of Courses Assigned Participate in the overall planning and scheduling of courses on an annual and ongoing basis Input the schedule and course information in Asana and database Monitor schedules and work to ensure that all webinars have moderators assigned Gather all marketing content for courses and ensure accuracy Ensure material/curriculum is completed, including completing quality review of materials, and then post in the LMS prior to start of course Ensure all processes are compliant with NASBA standards Maintain tracking and assignments of all tasks associated with courses in Asana Check attendance numbers 3 weeks out and monitor to determine if a course will be held or not Management of Course Instructors Assigned Support relationships with instructors and partnering companies by holding regular calls Ensure all instructors have submitted current bio information and maintain updated bios on database/website Manage online meetings/conference calls between Education Department and course development teams to identify details and steps needed for new/updated courses/materials Education Programs Facilitation Specialist 2 Act as liaison between department and instructor tracking progress for course creation/development, coordinating all assignments, and ensuring timely completion of assigned projects Maintain the schedule of instructors for assigned courses confirming primary and backup instructors and send out calendar invites Initiate and/or verify contracts are up to date and in place for instructors Coordinate with Director of Educational Enrichment by confirming compensation and development budget in getting new or updated contractual terms for each instructor Process instructor payments in line with contract terms Request/ensure all instructors have updated and bios posted in Asana Implement and manage instructor contracts Post Course Production Oversee timely completion of data to Accounts Payable Administrator and HQ personnel In-Person Events Support (as needed) Audit and prepare the Attendee Roster Check-in grid for in-person events Create daily agendas for all courses Generate roster of attendees for in-person events Generate all name badges for in-person events (for conferences: include QR codes match) CPE On-Demand (CPEOD) Conduct the final quality review of all products created for CPEOD Management of Conference Oversee the Call for Presentations process, sending accept and regret notifications Work with Director of Educational Enrichment with the oversight of all conference presenters Confirm presenters selected for agendas and provide necessary details and templates Work with presenters to gather all PPTs and oversee the quality review process by the Annual Conference Committee Moderate conference sessions onsite and/or virtual Contribute onsite with initial set up, unpacking, repacking, and labeling Run the broadcast for one track at hybrid conferences Act as Conference Planning Committee liaison Manage the grading process with the Conference Planning Committee of all presentations #
