$46,500 ($22.36 per hour) to $51,500 ($24.76 per hour) annually based on experience

Job Summary :
The Upper School Office Assistant provides administrative support to help ensure efficient daily office operations. This role assists with the daily coordination of substitute teacher coverage, maintaining administrator schedules, and supports a variety of administrative functions. The Upper School Office Assistant serves as a point of contact for faculty, staff, substitute teachers, and administrators, to ensure classroom coverage needs are met.
Essential Responsibilities :
Substitute Teacher Coordination :
Work with administrators to understand all substitute coverage needs. Communicate with substitute teachers to schedule daily and long-term assignments. Coordinate all aspects of substitute teacher support, including communicating schedules, parking information, class rosters, daily lesson plans, and teacher expectations Coordinate daily check-in and check-out procedures and provide daily support as needed. Assist with hiring new substitute teachers and work with Human Resources to complete the onboarding process for each individual.
Administrative Duties :
Answer and direct phone calls, respond to emails, and assist visitors with inquiries in a professional and courteous manner. Maintain and support administrator calendars, including scheduling appointments and coordinating logistics. Coordinate meetings by reserving rooms, preparing materials, and assisting with meeting logistics as needed. Perform general office support duties, including filing, data entry, copying, and maintaining records. Perform other duties as assigned.
Minimum Qualifications :
Excellent interpersonal skills and the ability to work effectively with students, parents, faculty, and staff. Proficiency in Microsoft Office Suite (Word, Excel, Power Point) and Google Workspace applications. Strong written and verbal communication skills. Ability to manage multiple tasks, meet deadlines, and prioritize responsibilities. Administrative experience in an educational setting preferred.
Working Conditions and Physical Requirements :
Ability to see and hear within normal parameters with or without correction. Full range of head, neck, and back movement; unrestricted ability to bend knees, raise arms above the head, and to move hands, fingers, and wrists. Ability to lift and carry up to 20 pounds without difficulty. Ability to sit, stand, and/or walk for sustained periods of time. Work is generally performed Monday through Friday during normal business hours, and may include occasional evening and weekend work. Must successfully pass fingerprint background check and provide TB clearance due to working in proximity to children.
