To Be Determined Job Description Malden Catholic High School, a Xaverian Brothers Sponsored, co-divisional middle and high school for young men and women, seeks a qualified candidate for the position of Administrative Assistant to the Athletic Director. This individual will provide comprehensive administrative support to the Athletic Director and the Athletic Office. This position reports directly to the Athletic Director. Specific Duties
  • Attend training and learn how to use ArbiterGame Resources, the scheduling platform used by the MIAA.
  • Assist and support the inventory of athletic equipment and supplies.
  • Manage budget tracking (records, receipts, concessions, etc.).
  • Organize and support special athletic events such as homecoming or the athletic hall of fame dinner.
  • Serve as coordinator for special student athletic events such as Senior Nights, Class Reunion, and Senior Week.
  • Coordinate and schedule interviews for coaching positions.
  • Create and share athletic team rosters (internally and externally)
  • Serve as the liaison and primary point of contact for the Athletic Office.
  • Manage and coordinate the Athletic Director's calendar, including scheduling appointments, meetings, and athletic events.
  • Assist in maintaining an efficient and well-organized daily and seasonal schedule.
  • Coordinate all aspects of Athletic Department meetings and events, including logistics and communication.
  • Communicate effectively on a daily basis with coaches, administrators, staff, and external vendors.
  • Coordinate transportation for all athletic teams for away games and events.
  • Create and maintain comprehensive filing systems to support efficient office operations.
  • Prioritize tasks, meet deadlines, and follow up on assignments with minimal supervision.
  • Answer and screen calls; relay pertinent information and respond to inquiries in a professional manner.
  • Provide administrative support to the Athletic Director and other Athletic Department personnel.
  • Assist with and attend school and athletic events as needed to represent the Athletic Office.
  • Review, process, and reconcile expense reports to ensure timely reimbursement.
  • Evaluate existing procedures and recommend improvements to enhance efficiency and cost-effectiveness.
  • Manage incoming mail and respond independently when appropriate, exercising discretion and sound judgment.
  • Collaborate with Facilities and colleagues to maintain a professional and organized work environment. Qualifications
  • High school diploma required; additional education preferred.
  • Have a demonstrated ability to pay attention to detail and to accurately collect and enter data.
  • Prior experience in administrative or office support required; experience in a school setting preferred.
  • Experience supporting an Athletic Department is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), internet applications, and social media platforms.
  • Strong organizational, prioritization, and problem-solving skills.
  • Ability to work independently while building strong collaborative relationships across teams.
  • Ability to be flexible to manage daily responsibilities while handling unexpected student needs. Administrative
