Job Description

The Academy Athletic Director serves as a central communication and operations leader for the Academy, overseeing coordination between the arena, school, dormitories, dining services, transportation, and student-athlete support systems. This position plays a key role in ensuring the daily organization, scheduling, communication, and well-being of student-athletes while supporting academy operations, events, marketing, and team logistics. The ideal candidate is highly organized, proactive, flexible, and comfortable managing multiple responsibilities in a fast-paced hockey academy environment. Key Responsibilities Serve as the primary communication hub between the Academy, coaching staff, school administration, arena personnel, dining services, and families. Coordinate and communicate schedules for practices, games, study hall, transportation, dining, and student activities. Support day-to-day operational needs for the Academy Dormitory & Residential Management Coordinate and maintain student room assignments. Organize and monitor dorm cleaning schedules in collaboration with coaching staff. Track and report dorm maintenance needs, damages, and security concerns to appropriate campus personnel. Coordinate vehicle approvals and parking communication. Communicate weekly cafeteria schedules and dining updates. Provide residential supervision Arena & Scheduling Coordination Manage weekly practice, skills, and gym schedules. Communicate schedule changes, weather updates, and operational notices to players, coaches, arena staff, and office personnel. Coordinate with ice scheduling staff to ensure efficient facility usage. Team Travel, Games & Tournament Operations Assist coaches and the General Manager with team scheduling and logistics. Coordinate practice and skills sessions. Organize travel arrangements for away games and tournaments, including transportation, meals, hotels, flights, vans, and buses. Ensure home game operations are fully scheduled, including ice time, referees, scorekeepers, and event logistics. School & Academic Coordination Serve as the primary liaison with school administration and staff. Communicate student-athlete absences, tardiness, illnesses, injuries, and travel schedules. Ensure all required academic and medical paperwork is submitted and maintained. Coordinate student participation in school activities and events. Manage study hall schedules, room assignments, teacher coordination, and attendance tracking. Coordinate guidance counselor appointments and academic support services. Student Health & Wellness Support Coordinate physical therapy, rehabilitation, and medical appointments for student-athletes. Maintain student health records for emergency and coaching reference. Monitor and communicate health-related concerns, including injuries and concussion protocols. Student Life & Non-Hockey Activities Assist with student orientation and Academy code of conduct education. Coordinate non-hockey activities, free-time supervision, and student engagement opportunities. Oversee weekly supply runs and operational errands. Support student transportation and vehicle usage policies. Vehicle & Equipment Oversight Monitor academy vehicles and trailers for maintenance and service needs. Report damages or operational concerns promptly. Ensure vehicles and trailers are properly serviced and cleaned. Qualifications & Requirements Must successfully pass a federal background check, motor vehicle record check, and drug screening. Prior hockey playing, coaching, and/or hockey operations experience preferred. Degree or experience in Sports Management, Athletic Administration, Education, Communications, or related field preferred. Strong organizational, communication, and multitasking skills. Ability to work evenings, weekends, and travel as required. Comfortable working in a fast-paced student-athlete environment. Proficiency with scheduling systems, Microsoft Office, Google Workspace, and social media platforms preferred. Preferred Attributes Self-motivated and detail-oriented.
