Secretary to the Superintendent and District Clerk June 2, 2026
Job Description:
Acts as confidential secretary to Superintendent Supports and facilitates all areas of work of the Office of the Superintendent. Supports and facilitates the work of the Board of Education relating to daily matters and meetings of the Board. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and can work independently with little or no supervision. This person must be exceedingly well organized and flexible. Minimum Qualifications Graduation from high school and a minimum of two years of post-high school education; Completion of two (2) years of training in a recognized business or secretarial school with emphasis on secretarial practices, and one year of clerical experience; OR Completion of one (1) year of training in a recognized business or secretarial school with emphasis on secretarial practices, and two (2) years of clerical experience; OR Three (3) years of clerical experience, two of which shall have involved secretarial duties; OR Any equivalent combination of experience and training as defined by the limits of A, B and C above. Required Qualifications Thorough knowledge of office practices and procedures. Ability to receive the public and to make decisions based on mature judgment to help alleviate the schedule of the Superintendent of Schools. Ability to maintain working relationships with administration, department heads, other employees, and the public. Excellent calendar management skills, including the coordination of complex meetings. Experience handling high-stress work environments. Strong knowledge of MS Office, Word, Excel, and Outlook. Professional development will be provided. Performance Responsibilities Be responsible for heavy calendar management, requiring interaction with internal and external stakeholders to coordinate various meetings. Answer phones and direct incoming calls to the appropriate party promptly and efficiently. Communicate and handle incoming and outgoing electronic communications for the Superintendent and the Board of Education. Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner. Work closely with the Superintendent and School Business Official to coordinate and manage all work that flows through the office effectively and efficiently. Maintain all personnel records and attendance/accrual information. Serves as District Clerk for the Westfield Academy and Central School Board of Education. Attends board meetings and takes thorough notes to publish and distribute agendas and meeting minutes on Board Docs. Coordinates registration, transportation, and lodging for the Superintendent and members of the Board of Education to attend conventions and conferences. Distribution of salary notices, including salary rollover work in Wincap. Manages the yearly school budget vote and Board of Education election to ensure compliance with state law.
Salary:
A full-time, 12-month probationary position that is non-competitive and confidential. The salary range minimum is $56,000 and negotiable, commensurate with experience, and includes a generous benefit package. Deadline to
