ADMINISTRATIVE ASSISTANT TO THE PRINCIPAL
QUALIFICATIONS:
High School diploma or equivalent.
REPORTS TO
Principal
JOB SUMMARY
The Administrative Assistant will take directives from the immediate administrator. Will type, file, answer the telephone, take messages and ensure that they are relayed to the proper individual, keep records, and be effective at organization.
ESSENTIAL FUNCTIONS
Performs all usual office routines. Maintains all student records as shall be required. Keeps up to date information on each student in the Student Information System. Receives and routes or takes messages on incoming calls. Maintains a daily teacher attendance log, and the concomitant records for substitute teachers. Arranges for a substitute when the teacher is absent. Maintains a log of visitors to the school. Assists in the completion of reports, including daily attendance, nine weeks, semester and annual attendance. Types all of administrators' correspondence. Responsible for updating the yearly activities calendar and keeping it posted. Maintains inventory of supplies for teachers. Gathers information and types all yearly reports as designated by the administrator. Acts as custodian for site activity accounts. Records and codes all requisitions for activity and general funds. Performs all other duties as directed by the Superintendent or her/his designee.
KNOWLEDGE, SKILLS AND ABILITIES
Ability to perform tasks and projects with a high degree of accuracy and attention to detail. Ability to independently prioritize and process workflow. Ability to handle confidential matters professionally. Ability to assist students, parents, teachers, counselors, principals, administration and visitors. Demonstrated abilities in self-direction and sound judgement. Knowledge of administrative support fundamentals and procedures of the district. Knowledge of governmental reporting requirements, guidelines, regulations and procedures. Self-motivated, organized and able to manage multiple, diverse projects at once with minimal direction.
PHYSICAL AND ENVIRONMENTAL CONDITIONS
Regular office environment, including frequent use of electronic email, being able to sit for long periods of time without a break, etc. Normal effort of occasional periods of moderate physical activity. Interruptions are expected to occur often. Must be able to adapt and respond quickly to constantly changing technology.
