Position Summary This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. The Youth Development Recruiting & Talent Administrator supports the success of Youth Development programs by coordinating recruitment, hiring, onboarding, scheduling, and training for program staff. This role also ensures licensing requirements are met and staff records are accurate and up to date. As a key point of connection for new and prospective staff, this role helps create a welcoming first impression of the YMCA. The Administrator plays an important role in helping staff feel prepared, supported, and connected to our mission. This position also supports staff readiness and retention within Youth Development, helping ensure programs are consistently staffed with engaged, qualified team members who create safe and positive experiences for youth. Essential Functions Recruitment In alignment with HR, actively recruits staff for all youth programs, including sourcing qualified diverse candidates; identifying and attending job fairs; scheduling and conducting initial candidate screenings, and confirming and documenting all required credentials. Works with HR to complete new hire orientations, paperwork and onboarding Ensures consistent documentation and maintenance of training records, for licensing requirements and certifications. Works with HR to actively document and support volunteers, interns, and field study students, confirming required documents and credentials. Works with Youth Teen & Family Director to determine the necessary utilization of staff to ensure programs are appropriately staffed to meet the business needs. Creatively and innovatively helps solve staffing shortages, assisting in the creation of clear and consistent processes for recruiting and staff scheduling and substitute coverage. Determines and implements practices necessary to establish a positive employer-employee relationship and promote a high level of employee engagement and morale. Administrative Duties Oversees, maintains, and ensures compliance with training requirements through the Department of Early Learning and Care. Oversees staff schedules based on appropriate ratios required by program type. Ensures a list of qualified substitutes is available and that scheduling changes occur seamlessly Coordinates and tracks annual licensing renewals Works closely with HR to ensure that staff and program files and documentation are complete, accurate, and maintained. Guarantees minimum standards for staff qualifications, child-to-staff ratios, and facility safety are being met. Training Administration Works closely with HR to coordinate the department training and professional development of youth program staff Must commit to obtaining YMCA and DELC required trainings; must become enrolled in the Child Care Division's Central Background Registry (oregonearlylearning.com), and maintain active enrollment throughout employment in the Youth Development Department Performs other duties as assigned Minimum Qualifications At least 3-½ years of related experience coordinating administrative functions (E.g., Administrative Assistant, Office Manager, Program Coordinator) At least intermediate level skills with core business software, including the Microsoft Suite (Outlook, OneDrive, Teams, Word, Excel, PowerPoint, Forms, Adobe Acrobat) Preferred Qualifications Previous experience working at a YMCA Previous experience working in childcare or K-12 educational settings Experience working with individuals of diverse backgrounds (race, sexuality, gender identity, national origin, skin color, abilities, age, religion, socioeconomic status, cultural background, lifestyles, and any other aspects) Conversational fluency in Spanish Professional Competencies Attention to detail with demonstrated skills in planning and time management; must work autonomously and display independent work proficiency, flexibility and dependability; exercise sound judgment with the ability to make timely decisions without supervision. Ability to manage multiple tasks and effectively prioritize to meet deadlines; willingness to work enthusiastically under fluctuating priorities and have the ability to focus and return to tasks and projects with frequent interruptions.
